Position Summary

We are seeking an Office and Logistics Administrator to join our growing team! As an Office and Logistics Administrator, you will be taking on key office administrative tasks and serving as the first point of contact for visitors to our site. This position is ideal for someone with experience in customer-facing roles & Supply Chain, and who has high attention to detail, and is eager to contribute to a fast-paced, collaborative environment.

Duties and Responsibilities

Office Administration

  • Act as first point of contact for those visiting and attending the Company’s site by providing excellent and professional customer service.
  • Oversee and update the reception welcome sign.
  • Sign in and out all guests and contractors and direct as appropriate to PNP departments.
  • Coordinate boardroom/kitchenette activities as requested; maintain boardrooms’ calendars.
  • Oversee sourcing and ordering of office supplies weekly and ad hoc as needed.
  • Answer phone, screen, and direct calls. Liaise with Human Resources to maintain internal phone directory.
  • Develop and maintain positive working relationships with internal and external stakeholders.
  • Arrange daily small outbound shipments to clients or labs for testing.

Logistics

  • Facilitate the company’s logistics and supply chain operations.
  • Act as point of contact for both internal and external clients and stakeholders as it relates to logistics.
  • Manage inbound material shipments, outbound sample shipments, and support outbound Finished Goods (FGs) shipments.
  • Track and trace critical shipments and provide updates to stakeholders.
  • Follow up on missing or delayed deliveries and proactively communicate updates to impacted parties in a timely manner.
  • Organize, update and manage shared inbound and outbound calendars with other departments.
  • Prepare and provide shipping documentation for both domestic and international shipments.
  • Claim and track damaged shipments in a timely manner ensuring to share associated correspondence with appropriate departments and ensure that claim process is completed with compensation.
  • Negotiate favorable shipping and custom rates with service providers while developing and maintaining effective relationships.
  • Maintain and update customer shipment instructions and specifications.
  • Work with Warehouse team to manage space within warehouses based on expected inbound and outbound shipments.
  • Book carriers, and coordinate with customs brokers and receiving team on inbound shipments by appointment.
  • Assist Purchasing team with select duties.

General

  • Follow all applicable standard operating procedures (SOPs) to maintain safety, quality and compliance with regulatory requirements.
  • Participate in and provide suggestions for the development and continuous improvement of all departmental processes.
  • Participate in and further the Company’s health & safety program.
  • Report equipment malfunctions or quality deficiencies immediately.
  • Other related duties may be assigned from time to time.
  • Able to work additional hours as may be requested.

Qualifications

  • Fluent in verbal and written English.
  • 2 years of experience in logistics.
  • Experience with inbound and outbound calendars.
  • Experience negotiating rates.
  • Experience with harmonized system (HS) and tariff classification codes.
  • Willingness to learn.
  • Basic proficiency in mathematics (adding, subtracting, multiplying & dividing).
  • Strong proficiency in using computers and the Microsoft Suite (Word, Excel, PowerPoint, Outlook).
  • Exposure to accounting procedures and ERP systems is an asset.
  • Excellent attention to detail.
  • Strong problem solving.
  • Excellent time management.
  • Strong verbal and written communication.
  • Excellent internal and external client service.
  • Strong influencing skills, both colleagues and leadership.
  • Superior interpersonal skills – excels in working with people and relationship building.
