Reporting to the Supervisor, Building Services, the Building Services Coordinator is responsible for supporting a high-quality tenant experience by managing building-related issues and responding in a timely manner to tenant’s immediate maintenance requests.

The Building Services Coordinator is responsible for the direct services delivered or provided to improve the conditions of tenants’ homes and communities.

SUMMARY OF DUTIES

Reports to Supervisor, Building Services and is responsible for managing building-related issues and responding in a timely manner to building-related requests from staff, tenants, vendors, and community partners. Building Services Coordinators will be stationed in one main property and travel between the other properties. They will ensure the units and properties are maintained in a safe condition.

GENERAL DUTIES

Oversees a portfolio of properties and ensures day-to-day property-related requests made by tenants, vendors, and internal departments are handled in a timely and effective manner.

Performs property inspections and ensures properties adhere to internal and external compliance requirements. Conducts daily site inspections of the building exterior and interior to maintain a safe and hazard free environment. Reports building deficiencies to Supervisor.

Provides effective delivery of property-related services within an assigned portfolio of CHH properties; interacts with tenants and addresses day-to-day building requests,

Addresses utility-related issues as required. Inspects, directs and liaises with various vendors contracted to provide services for the building. Ensure vendors perform work in a timely manner and in accordance with CHH standards. Identifies vendor performance issues and escalates issues as needed.

Coordinates move-ins including elevator usage, jointly with Tenant Support Coordinator, and meets new tenants at their property.

Ensures building is adequately secured, including keys, intercoms, and cameras. Reviews Tenant Safety Alerts prior to attending a tenant’s unit and follows CHH’s Community Safety Policy.

Works closely with CHH site teams and other CHH departments to problem solve and intervene in building issues. May attend case conferences as requested.

Prints and posts notices requested by vendors and internal departments.

Participate in case conferences for tenancy issues within their portfolio as required.

Arranges, oversees, and carries out recycling and waste programs on site.

Identifies work required to property or unit and places work orders. Oversees unit turnovers.

Responsible for appliances at properties, including compliance with landlord obligations under the Residential Tenancies Act and inventory maintenance.

Is the site contact for building emergencies. Gathers information related to insurance claims.

Ensures building compliance as required, including, but not limited to fire and other life safety systems, annual unit inspections, generator testing. Records findings and reports irregularities to Supervisor. Maintains logs and tracking systems.

Carries out emergency response and actions as required in accordance with the Building’s Fire Safety Plan.

Works in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to Occupational Health and Safety.

Performs other duties as assigned which are directly related to the major responsibilities of the job.

QUALIFICATIONS

  • Previous maintenance, property management, facility management, and customer service experience related to duties listed above normally acquired by a combination of education and relevant work experience. Certified Property Management, AIHM, FCM is considered an asset.

  • Knowledge of the safe and efficient operation of building systems and equipment, including fire and life safety devices.

  • Knowledge and ability to manage building related compliance.

  • Experience working with vendors to ensure building related compliance and contractual obligations are met. Ability to read and understand contract documents.

  • Experience with residential property management, including renovations and maintenance related matters.

  • Strong communication skills and ability to work with others, including vendors, staff, and tenants.

  • Ability to work outside regular business hours on an on-call/call out basis as required.

  • Ability to work with minimal supervision.

  • Must be physically capable of carrying out light housekeeping duties, as well as lifting and carrying waste and recycling bins.

  • Applied Knowledge of the Residential Tenancies Act, 2006, and the Housing Service Act, 2011, Building Code, Fire Code, TSSA, ESSA, By-law, etc.

  • Proficient in using computer applications, including, but not limited to, property management software and Microsoft Office.

  • Knowledge of relevant legislation such as Occupational Health and Safety Act and Regulations including W.H.M.I.S. legislation.

  • Valid Class "G" Driver’s Licence. Provision of a vehicle for use on the job.
