Overview The Box Office Coordinator will support the day-to-day function of the box office located at the largest entertainment venue in the Region, The Aud. This role will provide operational support to the Supervisor of Box Office & Finance. This role will be the main point of contact for customer service concerns as it relates to ticketing and will establish and implement clerical and standard operating processes in the box office for ticketing functions and financials. This role is responsible for providing leadership, motivation, scheduling and guidance to part-time box office attendants. This position is temporary for a period of 10 months.

Responsibilities

  • Assists and coordinates the day-to-day function of the box office at The Aud.
  • Provides ticketing support for events including pre-event set-ups, on sales and event days, answers and fulfills all ticketing inquiries that are sent t o [email protected] .
  • Enters information into computerized ticketing database; processes ticket orders, exchanges, refunds and trouble shoots ticketing issues in person and by telephone.
  • Maintains ticketing software program for The Aud, Jack Couch Park , and Centennial field; updates software in accordance with price increases and event schedule.
  • Attends monthly ticketing software meetings and training sessions. Arranges for ongoing training for facility staff.
  • Monitors use of ticketing system, ensuring proper adherence to ticketing standard operating procedures by other staff.
  • Ensures accurate account balances are maintained with all customers related to ticketing transaction.
  • Monitors, tracks, and reports on the use of ticketing software/price adjustments.
  • Liaises with Financial Services staff to ensure proper allocation of revenues and ongoing, accurate maintenance of account balances.
  • Ensures proper adherence to data entry standards; monitors, corrects, and updates account information regularly.
  • Troubleshoots issues related to the ticketing software.
  • Follows Supervisors direction to assist with and process event builds including pricing structures, seat maps, seat holds and promotional set ups.
  • Coordinates group sale orders with promoter of events.
  • Coordinates with promoters to set up merchandise sales and processes reconciliation.
  • Prepares and communicates event ticketing information in the form of sales sheets via email to the Auditorium team.
  • Assists with seasonal ticketing requirements for tenants and large client groups.
  • Updates and evaluates standard operating procedures related to Box Office and Finance (e.g., checking daily deposits, ticket refunds, internal controls, etc.).
  • Works closely with Marketing Associate to process complimentary ticket allotments with the direction of Supervisor. Leads ticketing strategies and promotional campaigns with Marketing Associate.
  • Responds to patrons’ inquiries, concerns, and complaints in person, via telephone and email. Identifies and investigates problems and implements solutions .
  • Assists with orientation and training, scheduling, payroll, guidance and direction for part-time Box Office Attendants.
  • Assigns work to be performed by part-time Box Office Attendants, ensures that work is completed accurately and efficiently, provides feedback to staff as required and reports escalated issues to supervisor.
  • Completes daily deposit reports, ensures accuracy and submits work by part-time Box Office staff.
  • Processes and receives payment by cash, credit card, or debit.
  • Ensures that daily receipts balance, double checks reports and solves the problem if they don’t balance.
  • Creates event reports showcasing ticket sales and attendance.
  • Supports Supervisor in the preparation and administration of the annual budget, including monthly variance and improvement strategies.
  • Maintains box office and financial records and filing.
  • Arranges for servicing of office equipment as required.
  • Provides back up support to Financial Administrator including processing payroll, deposits and paying invoices through SAP.
  • Performs other related duties as assigned.

Requirements

  • 2-year diploma or 2 years in a specialized post-secondary program in a related field E.g. Recreation Leadership, Business Administration, or Special Event Management.
  • 2 years related experience
  • Experience with Paciolan or similar ticketing software
  • Skill in the use of a personal computer with the ability to learn and use software programs such as CRM software, SAP, People soft or payroll software, Activenet, Microsoft Office and Outlook.
  • Strong organization, time management and financial skills to deal with multiple events, while ensuring operational components occurs seamlessly.
  • Ability to support and project values compatible with the organization and to participate as an effective team member.
  • P roven leadership skills and be committed to working within a cooperative team environment using excellent interpersonal, communication skills, with the ability to respond to inquiries for various levels of internal and external contacts.
  • P roven ability to balance multiple tasks and deadlines and to work independently, consistently meeting strict deadlines with strong attention to detail and accuracy.
  • Ability to develop and a work schedule that aligns with facility programming and event schedule, available to work various hours including evenings and weekends.
  • Reliable with a good attitude and employment record.
