The Role
OncologyEducation, a Think Research Company, is seeking a talented Events Specialist to join its global Events Team. This role will organize, plan and execute all of our in person full and multi-day conferences while managing internal and external stakeholders. Focus also includes assistance with execution of our global congress coverage, ensuring events are marketed to the right audience, managing the online content and registration.
As the Event Specialist, you will report to the Director of Events & Engagement, work closely with the Sr. Event Specialist, as well as the content and digital marketing teams. This is a 12-month maternity leave contract.
You Will Have The Opportunity To:
Responsible for the logistical planning, coordination, and execution of OncologyEducation flagship events including, but not limited to, planning, production, execution, and vendor/supplier management for in person conferences.
Communication with internal and external stakeholders, faculty members and vendors for project updates, status check-ins and post event wrap-up.
Prepare, update, and execute on critical paths/work back schedules for all assigned events.
Host and lead event committee meeting.
Manage virtual event platforms and serve as virtual event production lead and support for events, including building out event on virtual platform, updating event registration systems, and dry runs/tech testing schedule for speakers.
Manage and act as primary liaison with event speakers, including availability collection, invitations, confirmation, and session logistics.
Liaise with event delegates, speakers, sponsors, vendors and exhibitors throughout the full event process.
Work with the Marketing Team to develop effective marketing strategies and plans for each event to meet or exceed targets for attendance.
Contribute to the forecasting, tracking, and budgeting of all events budgets.
Provide administrative support to event team, including but not limited to meeting scheduling, agenda, minutes, and other materials
Reporting metrics for pre and post events including registration, attendance, general product metrics and event surveys.
Other duties as assigned.
What You Will Bring:
- 5–7 years of professional experience in conference and event planning, coordination, and execution
- Undergraduate degree or college certificate in marketing, communications, or event management, or an equivalent combination of education and experience
- Specific experience in continuing medical education, the healthcare industry, pharmaceutical marketing, or pharmaceutical advertising is considered a strong asset
- Proven ability to manage multiple and complex events simultaneously, including critical paths, workback schedules, and budgets
- Experience planning and executing virtual events
- Quick to learn and adopt new technologies such as virtual event platforms and polling tools
- Proficient in GSuite, Salesforce, Zoom, SurveyMonkey, Slido, and other event tools
- Strong verbal and written communication skills with a focus on customer service and professional presentation
- Excellent interpersonal and relationship-building skills, including diplomacy and conflict resolution
- Ability to work effectively both independently and as part of a team
- Flexible and adaptable with the ability to perform well under pressure and meet tight deadlines
- Strong organizational and problem-solving skills with meticulous attention to detail
- Must possess a valid G driver’s license
- Will be required to work outside of regular business hours, including early mornings, evenings, and weekends
- Must be available to travel globally for approximately five conferences during the placement
