Executive Assistant - Full Time

The Toronto Grace Health Centre (TGHC) provides, specialized care to those individuals who require Complex Continuing Care, Post-Acute Care Rehabilitation, Transitional care, and Palliative Care services. The care and services provided at TGHC help facilitate the patient flow through the health care system and ensures recovery to those individuals who may return to their homes or to Long Term Care (LTC) facilities in their communities. TGHC operates in 3 sites – the Main site (Church& Bloor St) and our Harbour Light site and Specialized Care Centre (Victoria Park & Mc Nicoll) and our Overlea site. Our organization is committed to collaborating with patients and families in their journey through the health care system effectively supporting their integration back into the community.

The Executive Assistant (EA) is responsible for Medical Doctor credentialing and privileges, and providing a variety of administrative services and supporting the C-Suite as needed. Other duties shall also include creating, maintaining and updating the administrator on call schedule, the physician on call schedule and support several meetings by preparing, updating and distributing meeting minutes. The EA also assists with accurate attendance taking and booking meetings and assisting with employee celebrations as needed and other administrative duties as assigned.

MAIN RESPONSIBILTIES:

  • Responsible for Physician Credentialling and Privileges
  • Provides administrative support to the C-Suite including booking meetings, managing calendars and taking minutes for various meetings and scheduling committee meetings as needed
  • Manage emails, phone calls and other inquiries from various stakeholders including staff, volunteers, general public and community members and help direct to most appropriate person
  • Proofreads various communication material for accuracy
  • Helps manage executive calendars as needed
  • Assigns training and other mandatory records to physicians and others as needed
  • Create schedules for physicians and on call administrators and makes changes as needed
  • Other administrative duties as assigned and ad-hoc tasks as required

QUALIFICATIONS & EDUCATION:

  • Minimum of 3 years’ administrative support experience
  • Successful completion of a diploma/certificate from an accredited college or equivalent
  • Post-secondary education in a related field
  • Previous experience with Medical Doctor Credentialing and Privileges
  • Ability to perform a variety of administrative tasks as needed
  • Strong written and oral communication skills and demonstrated ability to collaborate and communicate effectively with team members
  • Exceptional attention to detail
  • Ability to proofread and correct a variety of communication materials in various formats (email, posts, etc.)
  • Ability to take direction and work effectively independently and as part of a team when required
  • Proficiency with technology and multiple platforms (Excel, Outlook, SharePoint), and other programs as required
