About Us:
Impressions Group Ottawa is a dynamic, fast-growing company offering a wide range of services including pool & spa maintenance, landscaping, construction, snow removal, and more. We're seeking a highly organized, detail-oriented Office Manager to become the backbone of our office operations and support our growing team.
Position Overview:
As our Office Manager, you’ll take full ownership of office administration, bookkeeping, and human resources support. You’ll be responsible for managing payroll, accounts receivable, employee records, onboarding, and more. This is a critical role that ensures smooth day-to-day operations and supports our team’s long-term growth.
Key Responsibilities:
Bookkeeping & Finance:
- Full-cycle bookkeeping using QuickBooks
- Payroll processing (hourly/salaried employees, remittances, ROEs, T4s)
- Manage accounts receivable and support collections as needed
- Assist with budget tracking and financial reporting
Human Resources & Office Admin:
- Maintain accurate employee files and records
- Coordinate onboarding of new hires
- Schedule health & safety training and track certifications
- Support policy development and implementation
- Ensure compliance with all employment laws and standards
General Administration:
- Manage calendars, company documents, and office supplies
- Provide administrative support to management
- Organize internal communications and assist in scheduling
Required Skills & Qualifications:
- 3+ years experience in office administration or bookkeeping
- Expert-level proficiency in QuickBooks
- Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook)
- Solid understanding of Canadian payroll standards and HR practices
- Highly organized, proactive, and detail-oriented
- Strong communication and problem-solving skills
- Ability to maintain confidentiality and manage sensitive information
Preferred Qualifications:
- Experience in construction, landscaping, or trades industries
- Working knowledge of WSIB, ESA regulations, and H&S training programs
