About the role

Reporting to the VP, Events and Entertainment, the Calendar Coordinator works with both internal and external parties to book space in a way that optimizes the use of all stadium and arena areas within TD Place, and ensures a positive customer experience when booking that space.

What you’ll do:

  • Manage and control all available areas to reserve at TD Place;
  • Prioritize, coordinate and book external ancillary events and rentals (ice rentals, field rentals, sporting events, corporate, league and private functions) as well as internal requests from all departments including those related to OSEG’s professional teams, tenant teams, departmental activations and entertainment/special events;
  • Develop and communicate monthly reports on upcoming events to teams, tenants, and internal departments for improved communication and transparency;
  • Utilize venue operations to triage booking forms, maintain an up-to-date listing of prioritized holds and facilitate user access to the calendar;
  • Generate external and internal booking quotes and communicate updated hold status;
  • Prepare and execute facility, ice and field rental agreements for both external and internal clients including price negotiation and other key terms, ensuring that agreements are acknowledged by all parties and invoices paid in accordance with the terms of the agreement;
  • Achieve budgeted revenue goals and report quarterly on targets;
  • Strategize on how to optimize the use of all stadium and arena areas in order to increase revenue for the company by tracking facility use and report on revenue opportunities;
  • Report interdepartmental use and financial revenue annually;
  • Track live entertainment avails and conversion rates – provide findings that can increase facility use by external promoters (where did lost business go);
  • Optimize March to April utilization in the arena as many playoff holds limit availability for other events and revenue earning;
  • Liaise with the City of Ottawa Lansdowne team and all OSEG departments involved in event execution (Event Production, Guest Services etc.) to optimize space usage and ensure sufficient time is allocated for conversion of arena/stadium pre and post event;
  • Other duties as required.

What’s needed:

  • Completion of post-secondary degree or diploma;
  • 1-2 years of administrative or related experience in the live entertainment or similar industry;
  • An understanding of facility calendar management;
  • Experience using Venue Ops venue booking and event management software;
  • Advanced computer skills, specifically with Microsoft Word, Excel, PowerPoint and Outlook;
  • Excellent interpersonal skills, with an ability to interact effectively and in a professional, diplomatic, and mature manner with VIP’s as well as internal and external clients at all levels;
  • Experience in contract negotiation, development and execution considered an asset;
  • Highly organized with excellent project management skills;
  • Strong verbal and written communication skills;
  • Must be able to work evenings, weekends and holidays as required;
  • Bilingual in English and French is an asset.
