The Digitization Coordinator, reporting to the Collections Manager, will be responsible for supervision and training of the digitization staff and manage all project operations related to digitization, coordinating workflows, and ensuring protocols are implemented and followed. The Digitization Coordinator will work closely with database provider (TMS Gallery Systems) to maintain the database at optimal levels to provide access to the collection records for staff and the eMuseum for the public. The Coordinator will ensure quality control of the records being digitized and made available for research.
Duties include but are not limited to:
- Acts as first point of contact for digitization;
- Leads in training and guidance to digitization staff in policy and procedures for data asset management (DAM), database usage, records management, and the registration process as well as training on care and handling of artifacts and cultural objects;
- Coordinates workflows through sound operating procedures and tracking methods;
- Manages the allocated budget and maintains records for tracking for projects;
- Writes and submits monthly reports to management;
- Collaborates with other industry partners in digitization activities;
- Maintains industry standards and best practices, and develops, updates, and documents industry policy and procedures to be available for training resources;
- Assists the Collection staff with registration of artifacts by writing descriptions, numbering artifacts, researching, or condition reporting;
- Monitors environmental systems to ensure preservation and safekeeping of the provincial collection and records as per best practices;
- Facilitates access to digital assets in the database and DAM systems;
- Coordinates with the photographer and prepares artifacts for digitization;
- Develops and maintains relationships with service providers, external agencies, consultants, and all other professional groups; and
- Other duties as required.
Minimum Qualifications:
- Bachelor’s degree in Museum Studies, Archival Studies, Arts Administration or a related field;
- Demonstrated equivalencies will be considered;
- Considerable experience in care and handling of museum objects;
- Experience in project management;
- Experience with collections databases and digital asset management;
- Ability to work independently and in a team environment;
- Strong oral and written communication skills;
- Demonstrated knowledge of current standards in digital museum practices;
- Ability to lift heavy objects (up to 50lbs);
- Valid driver’s license or ability to make site visits across PEI (7 locations);
Preference will be given to UPSE Civil Employees as per the UPSE Civil Collective Agreement.
