Administrative Assistant-Outpatient Clinic
Part-Time - Days
The Toronto Grace Health Centre (TGHC) provides, specialized care to those individuals who require Complex Continuing Care, Post-Acute Care Rehabilitation, Transitional care, and Palliative Care services. The care and services provided at TGHC help facilitate the patient flow through the health care system and ensures recovery to those individuals who may return to their homes or to Long Term Care (LTC) facilities in their communities. TGHC operates in 2 sites – the Main site (Church& Bloor St) and our Harbour Light site and Specialized Care Centre (Victoria Park & Mc Nicoll). POSITION SUMMARY
We are seeking an experienced administrative assistant who possesses strong communication and organizational skills to work with our Outpatient Clinic.
MAIN RESPONSIBILTIES
- Manage front desk operations, including answering phone calls, scheduling appointments, and handling inquiries, faxing referrals for specialists.
- Create demographics and enter necessary data prior to appointments
- File incoming faxes
- Triage referrals based on physician guidance
- Send completed notes to referring physicians
- Book new and follow-up appointments
- Fill cancellations on short notice
- Faxing record requests and referrals to other practitioners in patient circles of care
- Communicate with billing agents, providing needed information
- Making reminder calls to patients
- Create new users within our electronic medical record when new team members join
- Create schedules of physician availability
- Other administrative and clerical work and support as needed and ad-hoc tasks as required
QUALIFICATIONS & EDUCATION
- Minimum of 3 years’ administrative support experience
- Successful completion of a diploma/certificate from an accredited college or equivalent
- Post-secondary education
- Demonstrated problem-solving skills and agility to anticipate and tackle any task assigned
- Experience with subspecialty clinics, especially rheumatology, respirology, and geriatrics a plus
- Strong written and oral communication skills and demonstrated ability to collaborate and communicate effectively with team members and other stakeholders.
- Exceptional attention to detail
- Ability to take direction and work effectively independently and as part of a team when required.
- Proficiencies with outpatient electronic medical records (e.g. Avaros, OSCAR, Velox, Cerebrum or Avaros experience a plus).
- Proficiency with technology and multiple platforms (Excel, Outlook, SharePoint), and other programs as required (e.g. Cliniconex, CHIME, RingCentral, OCEAN eReferrals and patient surveys).
