About the Role

The SANE Staffing Coordinator will report directly to the SANE Program Manager. They will manage the administrative functions related to the onboarding and offboarding of contract Sexual Assault Nurse Examiners (SANEs), ensuring compliance with documentation requirements, and supporting the scheduling and operative needs of the SANE program. This part-time permanent role (0.5 FTE) requires a highly organized individual with excellent communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities

  • Collaborate with the Program Manager and Site and Education Coordinator regarding the hiring of SANEs to ensure adequate program coverage.
  • Coordinate and conduct interviews under direction of Program Manager.
  • Complete issuance of reference checks and direct completed submissions to Program Manager.

Onboarding and Offboarding (15%):

  • Onboarding Process:
  • Under the direction of the SANE Program Manager, send out comprehensive welcome packets, including orientation schedules, program policies, and necessary contracts and agreements.
  • Monitor the completion and submission of required documentation (licenses, certificates, confidentiality agreements, etc.) and training/orientation sessions.
  • Coordinate the setup of access to essential tools and platforms (email accounts, SANEOPEDIA SharePoint account, etc.).
  • Offboarding Process:
  • Coordinate the offboarding process for SANE contract employees, including exit interviews, the collection of program materials, and revoking access to digital and security platforms.
  • Recertification Compliance:
  • Track and follow up on the renewal of required documentation, including licensing with the Nova Scotia College of Nursing (NSCN) and certifications.

SANE Scheduling (35%):

  • Develop On-Call Scheduling:
  • Coordinate with nurses to gather availability and preferences, balancing their needs with program demands.
  • Develop and manage the monthly on-call schedules for SANEs, ensuring adequate coverage for all shifts.
  • Function as a SANE on-call team member as needed
  • Provide on-call SANE consultation and coordination support in collaboration with SANE Program Manager and Education/Site Coordinator.
  • Collaborate with the SANE Program Manager to address gaps or staffing concerns.
  • Scheduling Changes & Communication:
  • Provide platform updates to any required changes to the on-call schedule, including last-minute adjustments due to illness or emergencies.
  • Communicate schedule updates, changes, and confirmations promptly to all relevant parties.
  • Maintain and distribute a real-time schedule to all SANEs, program managers, and relevant stakeholders.

General Administrative Duties (35%):

  • Maintain up-to-date and accurate tracking for employee records, including contracts, agreements, certifications, licenses, etc.
  • Act as primary administrative contact for SANEs regarding questions or issues related to scheduling or onboarding/offboarding processes.
  • Work closely with the SANE Program Manager to identify gaps in staffing needs.
  • Support Education/Site Coordinator and Program Manager in collection, review, and release of evidence from community response sites.
  • Participate in organizational and provincial team meetings to stay informed of changes within the SANE and Avalon programs.
  • Support any additional administrative tasks as assigned by the SANE Program Manager.

Qualifications

  • Bachelor of Science in Nursing or commensurate experience of education required.
  • Five (5) years nursing experience preferred. An equivalent combination of training and experienced may be considered.
  • Successful completion of a recognized sexual assault/forensic nurse program and/or experience in emergency, forensic nursing, or women’s health an asset,
  • Current and valid registration with the Nova Scotia College of Nursing in good standing.
  • Current certification in BCLS required.
  • Demonstrated ability to work independently and as a member of a team.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and deadlines efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information appropriately.

The SANE Staffing Coordinator must:

  • Have personal and reliable transportation and valid driver’s license.
  • Successfully complete a Criminal Record Check, Vulnerable Sector Check, and Child Abuse Registry upon hire.
  • Complete program funded training and receive SANE designation, if not already obtained, within six (6) months of position start date.

Additional Competencies and Knowledge

  • Understanding of sexualized violence and sexual assault trauma.
  • Utilize a feminist and trauma-informed lens in practice.
  • Knowledge of the impacts of trauma work on staff, as well as best practices to mitigate vicarious trauma, compassion fatigue, and burnout an asset.
  • Knowledge of the legal system is an asset.

Working Conditions

  • Hours: This is a part-time, permanent position requiring 17.5 hours per week. Monday-Friday 8:30am-4:30pm (with 1-hour unpaid lunch break). Occasional evening or weekend work may be required based on program needs.
  • Location: This position requires reporting to our Halifax office and may require travel within HRM and Nova Scotia, including the possibility of overnight travel. Avalon is pleased to support remote work when viable.
  • Compensation: $54/hour, with eligibility for benefits and RRSP
