We are currently hiring for the position of:

COORDINATOR, GROUND TRANSPORTATION (Events)

Reporting to the Manager, Ground Transportation, the Coordinator, Ground Transportation (Events) will facilitate the successful airport transfers (pickups and drop offs) of Festival guests through the planning and execution of ground transportation itineraries. This position will indirectly supervise Volunteers, Airport Greeter Supervisors, and Festival Drivers.

RESPONSIBILITIES:

Shall include, but not be limited to:

  • Utilize a relational database (Artifax) to record and obtain information about guest itineraries and requirements for ground transportation
  • Ensure that all guest ground transportation information is accurately captured in the relational database
  • Liaise with TIFF departments and industry stakeholders to obtain and confirm guest requirements for ground transportation
  • Answering and managing calls to the Ground Transportation Hotline; assisting in problem solving and conveying time sensitive information
  • Communicate airport transfer details to Airport Greeter Supervisors, Festival Drivers, and Volunteers, and dispatching Festival Drivers
  • Coordinate VIP and non-standard ground transportation
  • Schedule transportation with airport limo/taxi service
  • Maintain and distribute daily airport transfers schedules to airport team
  • Track and accommodate last minute or unscheduled airport transfers of guests
  • Support Manager, Ground Transportation with projects and deliverables
  • Contribute to daily Festival reports and provide a detailed post-mortem report
  • Execute the highest service standards, policies, and procedures for TIFF
  • Other duties as assigned

JOB GRADE & SALARY:

  • Job Grade 2
  • $24 /Hour

TARGET CONTRACT DATES:

  • Monday, August 11 - Tuesday, September 16, 2025

WORK LOCATION:

  • Office Location: 350 King Street West, Toronto, ON M5V 3X5

  • Weekly in-office requirements:

    • Minimum 2 days (November to April)
    • Minimum 3 days (May to October)
  • Pre-Festival Office Requirements: Full Time, including the Labour Day long weekend (Saturday, August 31, 2025 - Monday, September 1, 2025)

  • Festival Office Requirements: Full Time, including both weekends during the Festival

MINIMUM REQUIREMENTS:

Education & Experience

  • Previous experience with live, multi-day events and/or festivals
  • Previous experience in ground transportation, guest logistics, and/or hospitality is an asset
  • Exceptional and demonstrated background in customer service
  • University degree, college diploma or equivalent work experience
  • Holds a G class license, preferred

Skills & Effort

  • Proficiency with Microsoft Office, Google suite, and relational databases (experience with Artifax considered an asset)
  • Excellent organizational skills with exceptional attention to detail and numerical aptitude
  • Ability to learn quickly, work effectively and accurately, and respond well in fast-paced and high pressure environments
  • Understanding of and commitment to superior client servicing in person, online, and over the phone
  • Ability to think critically and anticipate issues and proactively propose and execute solutions to address them
  • Ability to work both independently and in a team environment
  • Adaptable to a flexible work schedule including early mornings, evenings, and weekends
  • Fluency in multiple languages considered an asset
  • Knowledge of traffic routes, local roads, hotels, international airports and airlines is an asset
