Commercial Property Administrator
On behalf of our client, we are seeking an intermediate to senior-level Property Administrator to join their Property Management & Operations team, reporting to the Property Manager. This individual will possess the ability to effectively manage and streamline a high volume of information, bring a solutions-focused mindset, communicate ideas clearly, and ensure alignment between tenants, contractors and management. The successful candidate will be a highly motivated team player with the ability to operate in a lean team. In addition, the individual will be able to work in an unstructured environment, solve problems and think critically about solutions, and has a 'no task is too big or too small' mindset.
The base salary is $65,000 to $90,000, based on industry experience and exposure, accompanied by benefits and a bonus. Our client is an advocate for equity and diversity, recognizing the importance of leadership engagement within its framework.
Responsibilities
- Key administrator for a nearly 1M sq. ft. office & industrial portfolio
- Respond to all verbal and written commercial tenancy inquiries and liaise with tenants directly on all related matters, including accounts receivable as well as follow-up communication
- Responsible for overseeing, tracking and maintaining related accounts receivables and payables for the portfolio, including producing reports and working with the Property Accountant
- Process rent rolls, bank deposits, chargebacks, and tenant enrollments; ensure timely collections and reconcile accounts
- Code and submit invoices, prepare cheque requisitions, and manage utility administration for building operations
- Prepare purchase orders and liaise with accounting for all expense and billing issues
- Set up vendor lists, track and manage service contracts, and ensure tracking of tenant insurance
- Coordinate maintenance calls and requests with management team
- Assist in the preparation of annual budgets, operating cost calculations, and rent-related reconciliations.
- Input and update lease data, prepare abstracts, manage tenant files, track insurance certificates, and handle general tenant inquiries
- Ensure all tenancy files are complete and accurate and have valid and executed leases
- Coordinate move ins and move outs
- Perform all duties in compliance with company’s Standard Operating Procedures and provide suggestions to improving and implementing new processes
Qualifications
- 3+ years of progressive administration experience within a property management team
- University or College graduate is ideal, RPA designation an asset
- Knowledge of property management principles and concepts as they apply to the Commercial Real Estate industry and ability to read and understand a commercial lease in detail
- Proficient with AR & AP processes, and a basic understanding of property accounting principles
- Strong analytical skills with a high attention to detail and the ability to meet strict deadlines
- Superior oral and written communication skills with a strong team orientation
- Takes initiative and is confident in the decision-making process
- Proficient in using Microsoft Office (Excel and Word). Knowledge of Yardi is an asset.
- Bright and analytical, able to solve problems and make decisions using logical processes
- Ability to excel and adapt to changing priorities, while delivering results consistently
