Administrative and Accounting Assistant
About the role
What We Need:
We are looking for a highly detail-oriented and motivated Accounting & Administrative Assistant to join our team. This role focuses primarily on providing accounting and financial administrative support to ensure accurate record-keeping, timely invoicing, and efficient cost tracking. The ideal candidate has a solid foundation in accounts payable/receivable, strong organizational skills, and the ability to work both independently and collaboratively in a fast-paced environment.
Key Responsibilities:
1. Labour Invoice Management:
- Review and verify timesheets against submitted labour invoices for accuracy.
- Allocate labour costs by appropriate cost codes to ensure accurate financial reporting.
- Collaborate with Superintendents and vendors to resolve invoice discrepancies promptly.
2. Accounts Receivable / Accounts Payable (AR/AP):
- Accurately enter AR and AP invoices into accounting systems.
- Ensure all invoice entries are properly coded and up to date.
- Route AP invoices for approval and conduct final reviews post-approval.
- Monitor outstanding receivables and assist in follow-up communications as required.
3. Expense Management:
- Record and reconcile out-of-pocket employee expenses in a timely and accurate manner.
- Ensure compliance with internal policies and documentation standards.
4. Account Administration:
- Set up and maintain new vendor and client accounts in accounting and project management software.
- Keep account and project records up to date, ensuring consistency across systems.
- Assist in tracking job-related costs and account-specific financial information.
5. Financial Support & Reporting:
- Assist with the preparation of financial summaries, project cost tracking, and other accounting reports.
- Support Project Managers with financial documentation related to ongoing projects.
You Are Someone Who:
- Has experience as an Accounting Assistant, Accounts Payable/Receivable Clerk, or similar accounting support role.
- Possesses strong working knowledge of Microsoft Office (especially Excel) and basic accounting systems.
- Has excellent attention to detail and organizational skills.
- Demonstrates strong communication skills and can liaise effectively with vendors, clients, and internal teams.
- Works independently with minimal supervision and can manage multiple accounting tasks efficiently.
- Holds a high school diploma or equivalent; post-secondary education in accounting, finance, or office administration is an asset.
- Bonus: Experience in construction or project-based accounting environments.
