About the role
Position: Administrative Assistant (Part Time – 10 hrs/week. Burlington, Ontario)
(Fixed Term Contract; maternity leave. August 2025 - August 2026)
Position Purpose: To assist the Executive Director with the administrative responsibilities of operating a charity which exists to support survivors of human trafficking and sexual exploitation.
Responsibilities:
Administration:
- Provide clerical and administrative support to the Executive Director to ensure efficient operation of office.
- Carry out administrative duties such as filing (primarily digital), typing, copying, scanning, etc.
- Maintain record keeping, database and file management for all contacts, contracts, policies, etc.
- Support staff efforts in creating, editing, and formatting documents, forms, templates, etc. (This includes converting electronic PDF files to fillable PDF forms.)
- Assist in the preparation of regularly scheduled reports and communications (e.g. e-newsletters).
- Provide information by answering questions and requests.
- Exhibit polite and professional communication via phone, email, and mail.
- Support team by performing tasks related to organization and strong communication.
Bookkeeping:
- Order supplies while exercising wisdom in regards to creative thinking and financial responsibility.
- Monitor credit card statements for reconciliation.
- Process and reconcile expense reports submitted by staff.
- Track program spending to ensure staff is staying on budget.
- Reconcile giving (online through Charitable Impact, PayPal, etc. and physically through cheques) with donor record management system (Canada Helps).
- Issue tax receipts as required.
- Assist Treasurer with bookkeeping tasks (Quickbooks).
- Contribute to team effort by accomplishing related tasks as needed.
Supervision and Reporting:
The Administrative Assistant is supervised by and reports to the Executive Director.
The Restorations staff team takes a collaborative approach to supporting survivors and clients.
Qualifications
Knowledge, Experience and Training:
- Minimum of high school diploma or equivalent education required; diploma or equivalent in related field (office administration, etc.) an asset.
- 3 years of experience in administrative assistance.
- Excellent knowledge of Google applications (Google Drive, Google Docs, Google Sheets, etc.), Microsoft Word and Excel, and Adobe Acrobat required.
- Experience working with Quickbooks is an asset.
- Experience working with Adobe Acrobat in creating fillable forms is an asset.
- Knowledge/familiarity of human trafficking and social service systems an asset.
- Experience working for a non-profit is an asset.

- 10 hours/week
- Administrative Assistant is expected to work from an office located in a confidential location (Nancy’s House) in Burlington; after a probationary period, there may be some flexibility in working some hours remotely.

About Restorations Second Stage Homes
Restorations exists to support survivors of sexual exploitation and trafficking by providing long term residential housing and survivor-led peer programming.
We will create a thriving, national survivor-led community that empowers survivors of sexual exploitation and trafficking to a life of holistic, self-determined well being, and restoration.
The core of our work is building and nurturing trusting, long-term relationships between survivors of exploitation/trafficking and staff, volunteers, and the wider community in order to establish a foundation for recovery, healing, and empowerment. Utilizing a survivor-focused, trauma-informed, and strengths-based approach, survivors lead their healing process as our team walks alongside them in that journey. With access to specialized programs and services, individualized and holistic care, wrap-around services, and a sense of belonging and community amongst other survivors, Nancy’s House provides a safe and supportive space for residents to heal, reclaim, and restore.
Programming is designed to support residents in achieving their goals through personalized, strength-based practice. We provide a nurturing environment where residents are supported by passionate staff who are dedicated to work alongside them to set and reach their personal goals. Programming elements are delivered through a combination of in-house services as well as in partnership with services and organizations in the wider Halton/Hamilton community.
