Job Summary

The Faculty Development & Continuing Professional Development (CPD) administrator has primary responsibility for supporting the Faculty Development and Island CPD units and Directors. The Program Assistant performs a range of administrative tasks including: calendar, travel and meeting support, event coordination, accreditation applications, and supports budget management. This position will liaise with Program’s Course Directors, Program Managers, IMP staff and faculty; Vancouver Island Health Authority staff at the Royal Jubilee and Victoria General Hospitals; staff and faculty at the UBC Faculty of Medicine, Vancouver/Fraser Medical Program, Southern Medical Program (Kelowna) and at the Northern Medical Program (Prince George).

To provide effective and efficient support to the unit and all its activities, this position is required to work flexible and varied hours at varied locations. Some weekend work may be required. The Program Assistant is required to work at any of the program’s locations and support both on-campus and off-site events. This position will also be required to be part of a roster that covers back up reception and exam invigilation when required.

Job Requirements

This position requires a level of education, training, and experience equivalent to 3 years of experience working within a comparable environment.

Knowledge/Skills/Abilities:

  • Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
  • Ability to prioritize and manage time and tasks with attention to detail.
  • Ability to problem solve by using judgement, independent thinking and/or analysis.
  • Ability to interpret policies and procedures.
  • Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences.
  • Experience composing various business communications such as emails, memos, and reports.
  • Experience in maintaining confidential and sensitive information.
  • Proficiency with computer applications (i.e., MS-Office Suite, Adobe Create Suite, content management systems).
  • Ability to learn new technologies and experience with audiovisual/videoconference equipment.
  • Knowledge of hospital/health authority structure and functioning, and a demonstrated understanding of medical terminology is an asset.
  • Experience scheduling meetings and calendar coordination.
  • Experience with pre-planning and recording meetings.
  • Experience with event planning and coordination.
  • Knowledge of accounting and financial principles

Specialized Knowledge/Education:
Secondary school diploma or equivalent.
