About the role

Description:

As an Administrative Assistant, you will be reporting to the VP of Science and Innovation. You will play a key role in supporting the location operations and various projects across the organization. Your responsibilities will include office administration, managing documentation, supporting project coordination, and ensuring smooth communication between teams. By collaborating with different departments, you'll help streamline operations and support the successful delivery of projects. Working in our Saskatoon office, you'll be part of a growing, dynamic team with significant opportunities to contribute across various areas. Being in the office five days a week, with flexibility when needed, is a crucial part of the role. This environment offers growth potential, allowing you to expand your skills. Your organizational skills and proactive support will be essential in maintaining efficiency and fostering teamwork throughout the organization.

Responsibilities:

  • Grammatical and formatting review of technical documents, reports, and proposals.
  • Ensure all project-related documents comply with company and client standards.
  • Conduct detailed grammatical, formatting and consistency checks on reports.
  • Final PDF creation and quality control.
  • Assisting and writing letters and other communication documents.
  • Create/edit PowerPoint presentations and flowcharts.
  • Shipping and receiving of packages and laboratory samples (including consideration of WHMIS and TDG – training can be provided).

General administrative duties, such as:

  • Office administration.
  • Assist with daily office management tasks, including coordinating supplies, managing group calendars, and organizing office events.
  • Organize and maintain electronic and hard copy filing systems.
  • Compiling receipts and expense reports.
  • Ongoing administrative support to ensure the smooth operation of project and office activities.
  • The position will include EA duties to the VP of Science & Innovation, including:
  • Meeting preparation.
  • Project tracking and task follow-ups.
  • Calendar optimization and scheduling coordination.

Position Qualifications:

  • Minimum of 3+ years of proven experience in administration.
  • University Degree, College Diploma, or equivalent experience.
  • Must be fluent in English with proficient interpersonal skills, including strong verbal and written communication skills.
  • Must legally be able to work in Canada.
  • WHMIS and TDG experience are an asset, however, training can be provided on the job.
  • Experience in a scientific or consulting environment is preferred.

Requirements:

  • Detail-driven with an eye for consistency and strong with written communications and editing.
  • Proficient in the use of Microsoft Suite: Teams, SharePoint, Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills as well as the ability to prioritize and meet deadlines.
  • The ability to multitask and prioritize a dynamic and fast-paced workload.
  • Encourage a positive working atmosphere by being adaptable, communicative, and solution-oriented when collaborating with project managers, scientists, engineers, and other team members.
