Title: Total Wellbeing Specialist
The Opportunity
The Total Wellbeing Specialist is a key strategic partner in the design, execution, and continuous improvement of our organization’s benefits and wellness programs. Reporting to the Total Wellbeing Manager, this role goes beyond administration—playing a pivotal role in shaping the wellbeing strategy, analyzing program effectiveness, and ensuring alignment with organizational goals.
This hybrid role (50% Benefits / 50% Wellness) requires a proactive, data-driven professional who can translate insights into action, support cross-functional initiatives, and champion a culture of health and inclusion across all sites.

You will partner closely with the Total Wellbeing Manager to execute projects such as annual open enrollment, new plan launches, and wellness event coordination. This role plays a key part in enhancing our company’s wellness culture through planning and supporting wellness events, employee communications, contests, seminars, vendor liaison for mental health supports, and wellness strategy execution across regional sites.
About The Role
Benefits Administration (50%)
- Collaborate with the Total Wellbeing Manager to evaluate and recommend enhancements to benefits offerings based on benchmarking and internal data.
- Lead ongoing analysis of benefits utilization, cost trends, and employee feedback to inform plan design and vendor performance.
- Enroll new hires promptly in the benefits plan.
- Co-lead the annual re-enrollment process alongside the Total Wellbeing Manager, including preparing communications, training materials, and addressing employee inquiries.
- Maintain accurate employee data in HR systems; process updates such as banking and address changes.
- Communicate with plan participants to obtain necessary documentation and ensure compliance with regulatory requirements.
- Manage notification letters and other communications to employees regarding benefits.
- Liaise between Symcor, insurance carriers, and the company to facilitate necessary benefits changes and resolve issues.
- Collaborate with the employee pension lead to ensure accurate employee remittances.
- Serve as a subject matter expert on benefits plans and documentation.
- Support employees with benefits-related inquiries, providing clear and timely assistance.
- Reconcile payroll data pre- and post-processing to ensure 100% accuracy and address any discrepancies or insufficient funds.
- Reconcile insurance carrier invoices against payroll processing each pay cycle.
- Generate HRIS, Payroll, and HR-related reports accurately and within deadlines, reviewing for discrepancies and escalating issues as needed.
- Respond confidentially and promptly to employee queries received via the employee mailbox.

Wellness Program Management (50%)
- Co-develop the annual wellness strategy and calendar in partnership with the Total Wellbeing Manager, aligning with organizational priorities and employee needs
- Assist the Total Wellbeing Manager in implementing and promoting employee wellness initiatives to foster a healthy workplace.
- Plan and coordinate wellness events, both in-person and virtual, including activities, contests, and seminars.
- Analyze participation, engagement, and outcomes of wellness programs to drive continuous improvement.
- Manage communications related to wellness programs to maximize employee engagement.
- Act as liaison with external vendors offering mental health and wellness support, coordinating services and promotions.
- Support the development and execution of the annual wellness plan calendar in collaboration with regional sites, ensuring alignment with overall wellness strategy.
- Partners with regional teams to execute wellness initiatives consistently across locations.
- Collaborate with the Senior Disability Management Specialist to enhance disability management and wellness practices in line with legal and business requirements.
What You Need To Succeed
Education:
- Post-secondary diploma or certification in HR Management or related discipline.
- Certified Employee Benefits Specialist (CEBS) designation is a strong asset.
Experience:
- Minimum 4 years of experience in benefits administration.
- Solid knowledge of federal and provincial legislative requirements related to benefits and worker legislation.
- Proficiency in HRIS and payroll software, specifically Dayforce.
- Experience working with business intelligence tools such as Power BI to create dashboards and reports that track KPIs and program effectiveness.
- Experience as a first point of contact for employees and vendors, demonstrating excellent written and verbal communication skills.
Skills:
- Strong analytical skills with the ability to interpret benefits and wellness data to inform strategic decisions.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel), with advanced Excel capabilities (e.g., pivot tables, VLOOKUP, data visualization).
- Interest or experience in project management tools are considered a strong asset.
- Strong case management and stakeholder partnership abilities.
- Excellent organizational skills and ability to manage multiple priorities with attention to detail and confidentiality.
- Bilingual in English and French is a strong asset.
