Job Summary

The Coordinator, Member Experience serves the mission of the YMCA of Lethbridge by supporting the operations of the Membership team, including membership and rentals. The main goals of this position are:

  1. Provide supervision to Membership and Rental Attendants, including onboarding, scheduling, and coaching, with support from the Manager, Member Experience and Acquisition.

  2. Implement and inform Membership and Rentals initiatives as developed by the Manager, Member Experience and Acquisition.

  3. Complete administrative tasks to support the functions of the team.

  4. $45,000 - $50,000/annual

Nature & Scope

The Coordinator, Member Experience will support the Membership and Rentals team. The major responsibilities of this position are, but not limited to:

Leadership and Strategic Planning

· Exemplify the YMCA of Lethbridge’s Core Values of caring, honesty, inclusiveness, respect, and responsibility.

· Promote a positive, inclusive work environment, responding to general inquiries and resolving issues in a timely manner and in accordance with Association policies and guidelines.

· Be a YMCA ambassador by engaging in and promoting practices and frameworks which ensure diversity, equity, inclusion, and belonging.

· Demonstrate a commitment to health and safety, incident management and emergency response within the Membership and Rentals team.

· Effectively communicate with internal and external stakeholders, responding to needs or requests, to obtain or supply information with appropriate tact.

Organizational and Department Management

· Support the supervision of Membership and Rentals Attendants and volunteers.

· Contribute to the completion of administrative duties within Membership including scheduling and payroll tracking of Membership and Rentals Attendants and Volunteers.

· Identify community needs through statistical tracking and present trends to guide future implementations, including rentals, memberships, and other initiatives or programming.

· Monitor the mandatory certifications of Membership and Rentals Attendants and Volunteers and notify when certifications are coming due.

· Carry out tasks requiring a reasonable degree of concentration and the need to assess options or evaluate past practices using analytical methods and processes.

· Support in leading a goal-oriented culture with attention to daily metrics, promotions, and key drivers of financial success for growth and sustainability.

· Collaborate with the Member Experience and Acquisition Manager in the development, implementation, and evaluation of innovative member services.

· Model best practices, upholding high standards for excellence in team implementations.

· Lead the rental process for space and birthday rentals, communicating with external stakeholders, ensuring appropriate employee coverage, obtaining required documentation, monitoring set-up and take down of spaces, and providing coverage when necessary.

· Support membership growth and retention through targeted activities and initiatives.

· Work in usually standardized conditions, under occasional supervision, with choice of action within defined limits to make progress towards assigned objectives.

· Attend all required YMCA trainings and recertifications.

Financial Management and Philanthropic Involvement

· Model the Association’s dedication to philanthropy.

· Participate in Fund Development Initiatives to further the impact of team efforts.

· Adhere to the team’s annual budget, managing expenses within your area and ensuring proper coding and documentation is provided.

External Relations and Advocacy

· Foster relationships in the community by supporting partnership development where appropriate and acting as an ambassador for the Association’s core programs.

· Role model team initiatives and projects within the Association.

· Follow policies regarding confidentiality to safeguard data and information and handle sensitive information with a strong sense of ethics and confidentiality, in addition to all Association policies and guidelines.

· Participate in external growth opportunities in alignment with team goals.

Physical/Special Demands

· This position may include the ability to lift 20 kg

Qualifications and Experience

· High School Graduation or GED is required

· Up to 1 year of practical or lived experience is required

· Intermediate to expert knowledge in Microsoft Office Suite programs is required

· Customer service experience is considered an asset

· Previous non-profit experience is considered an asset

· Evidence of an acceptable Police Information Check and Child Intervention Check

· Three professional references are required
