About the role
The Granite Club is looking for a full-time Events Manager who will bring leadership, energy, creativity, and strong organizational skills to the planning and execution of a wide range of events, including Social, Corporate, Internal, and Committee functions. This role also involves providing support to various Sections, Clubs, and Groups as assigned, all with the goal of enhancing the overall Member experience. The Club Events Manager ensures that programs and activities are well-booked, efficiently organized, effectively coordinated, and successfully promoted and executed. They play a key role in supporting Conveners, helping them thrive in their advisory roles while ensuring Members feel confident in the Club’s ability to deliver high-quality, well-run events. Clear and timely communication with the Communications Team is essential to ensure proper marketing and promotion of events.

Primary Responsibilities
- Collaborate with all necessary departments to ensure appropriate function space is reserved, and that all food and beverage needs, facility requirements, pricing, and promotional details are properly documented.
- Coordinates with relevant departments and/or external vendors to arrange facility-related services as needed (e.g., book transportation with bus companies for excursions).
- Responsible for the administration, financial accounts, contractors, budgets and Member charges for all related Programs and Events.
- Negotiates contracts with relevant contractors, speakers/guests/visitors for Programs, Events and Activities.
- Ensures that marketing and promotion for Programs and Activities are efficiently organized and effectively executed, including submission of information to all Club communication vehicles (ie. Granite News, Website, digital screens, ESS, etc).
- Supports and promotes “Club within the Club” programs and activities by actively generating fresh event ideas to help raise their profile and engagement.
- Club-wide Events – responsible for assisting and execution of existing, new and exciting Club-wide events, which will engage the Membership, enhance the Member experience and increase attendance at Events.
- Research and brainstorms additional Programs, Events and Activities to meet changing trends and needs of the Membership.
- Maintains an adequate inventory of necessary supplies and equipment and updates equipment as needed.
- Supports the Club’s feedback mechanisms to garner Member feedback about Facilities, Staff Programs, Events and Activities.
- Recruit, train, orientate and supervises Contractors.
- Out-source any additional décor items or suppliers as requested by client.
- Develop proposals for and conduct sites with prospective clients in all markets. Follow up in a timely manner.
- Promote and monitor event feedback to ensure Member and guests satisfaction and maintain the high standards of service that define The Granite Club.
- Assist in development and implementation of strategic marketing plan to ensure growth with existing markets and capture new markets within the Membership.
- Assist with preparation of monthly forecasts and budget development
- Prepare month end document to efficiently track lead sources, productivity, successes, lost business, forecasts and marketing planning.
- Assist in maintaining consistency of service and set up standards in Food and Beverage via on site and pre-room inspections and follow through of event order specifications.
- Attend external industry related events to stay current with latest developments in field as directed.
- All other duties as assigned by Senior Events Manager.
Required Qualifications
- Three years of Community college, or apprenticeship in event planning, or 3 years of experience in event planning preferred Ability to work effectively with Committees and Members
- Minimum one year of administrative experience
- Excellent public relations, communication and marketing skills
- Experience dealing with people in a variety of situations
- Computer experience
- Excellent organizational, written, oral and planning skills
- Stability and stamina in high volume, stressful situations
- High energy and a positively infectious attitude
- Inspiring motivational skills to encourage involvement and pride of purpose
- Excellent diplomacy and conflict resolution skills
- Flexible schedule that may include evenings, weekends and holidays
