Your Team:

Join the Flight Operations team at Flair as a Crew Services Administrator, where organization and attention to detail are essential to supporting safe and efficient flight operations. Reporting to the Manager, Crew Services, you will be responsible for document control, managing the technical library, and providing administrative support to key leaders, including the Vice President, Business Transformation and Operations, and the Chief Pilot. In this role, you will play a vital part in maintaining accurate, current, and compliant records and documentation, ensuring operational readiness and regulatory adherence across the department. You’ll work independently in an office environment and may occasionally travel to support in-person meetings or operational needs. The role may also require flexibility to work evenings or weekends based on business demands.

This position is based on-site at our Toronto, ON (YYZ) office.

A Day in the Life:

As a Crew Services Administrator, you will:

  • Provide administrative and operational support to Flight Operations Management, including distributing pilot communications, updating internal systems, and coordinating manual revisions.
  • Coordinate TSA clearance processes for flight training conducted in the United States.
  • Assist with Crew Member recruitment, onboarding, and offboarding processes to ensure smooth transitions.
  • Maintain the crew uniform database, manage vendor communications, and oversee uniform ordering and distribution.
  • Review and reconcile crew expense submissions for accuracy and policy compliance.
  • Ensure all aircraft documentation and onboard manuals are current and compliant with regulatory requirements.
  • Monitor and track crew compliance with operational requirements such as iPad assignments, memo acknowledgments, and training completions.
  • Oversee the RAIC (Restricted Area Identity Card) process for crew members and support crew scheduling and planning activities.
  • Serve as the first point of contact for general crew inquiries, providing timely and accurate support.
  • Assist in creating and distributing new hire packages and offer on-site support during initial training sessions.
  • Support Flight Operations’ vendor relationships, including invoice verification and payment tracking.
  • Contribute to the planning and execution of special projects within the Flight Operations department.
  • Provide backup support to other Flight Operations team members as required.

What You Bring to the Role:

The preferred candidate should exemplify Flair's core values of respect, honesty, accountability, and efficiency while demonstrating success in previous roles. Additionally, we are seeking individuals who possess:

  • Education:
    • College Diploma in Aviation Management, Business Administration, or a related field is preferred.
  • Experience:
    • A minimum of two (2) years of experience in an airline environment or in a complex administrative support role is strongly preferred.
    • Familiarity with regulatory compliance processes is considered an asset.
  • Skills and Abilities:
    • Demonstrated project management skills with the ability to take initiative, manage complex tasks, and apply a proactive approach to problem-solving.
    • Ability to read and interpret legislation, regulations, and legal documents relevant to airline operations.
    • Strong proficiency in technical and business writing, with the ability to communicate complex information clearly and effectively.
    • Working knowledge of crew scheduling systems such as Jeppesen FDPro or similar platforms.
    • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
    • Excellent verbal and written communication skills, coupled with strong interpersonal abilities.
    • High attention to detail and accuracy in data entry and documentation.
    • Proficiency in Microsoft Office Suite and experience with database management.
    • Ability to work independently as well as collaboratively within a fast-paced environment.
    • Flexibility to adapt to shifting priorities and operational demands.
  • Requirements:
    • Ability to obtain and maintain a valid Restricted Area Identity Card (RAIC).
    • Clear criminal record check and satisfactory references.
    • Must be legally eligible to work in Canada without restriction.
