About the role

Under the direction of the Operations Manager, the Administrative Assistant is primarily responsible for entering the day-to-day load information into the dispatch system and supporting the dispatch team by ensuring all driver paperwork and bill of ladings are processed, verified and complete.

Duties

  • Provide reliable support and assistant to the dispatch team under the operations department.
  • Enter data accurately and efficiently into our dispatch system for all assigned dispatch schedules and update changes throughout the day.
  • Effectively process and distribute daily border paperwork to drivers and customs, retrieve and confirm entry numbers.
  • Initiate and monitor progress of drivers, load completion and tickets.
  • Document and maintain waste receipts/shipment records while ensuring completeness, accuracy of all entries created. – i.e. Waste Manifests, bills of lading and work orders.
  • Generate reports from internal data and communicate all relevant details to management.
  • Ensure coordination with other departments, clarifying roles and responsibilities for resolving service issues.
  • Interacts with customers, various departments including: Customer service, Finance, Maintenance, Safety and Operations.
  • Manage documents from drivers and customers and ensure distribution to appropriate departments.
  • Must be able to communicate effectively and professionally via email and telephone with customers, various departments and drivers.
  • Follow applicable regulations with regards to transportation, receiving and management of waste.
  • Other responsibilities include but are not limited to sorting, organizing and filing daily driver paperwork and tickets.
  • Perform other duties and responsibilities as required or requested by management.
  • Comply with all company policies, procedures and directives from supervisors.

Knowledge, Skills, Abilities and Competencies:

  • High School Diploma or GED required.
  • Strong communication and interpersonal skills.
  • Proficient in MS Outlook, Excell, Work OR Google Workspace.
  • Proven ability to multi-task & ability to organize and prioritize tasks.
  • Must be detail oriented.
  • Knowledge of the Cross Border, Transportation or Waste Management industries would be considered an asset.
  • Knowledge of Isaac Instruments or TMW Suite would be considered an asset.
  • Ability to work without supervision.
  • Required to work in the office.
