This Administrative Support Worker works independently in a demanding environment with limited supervision, a high degree of confidentiality, discretion and judgment in all aspects of the day to day operation and management of the Adult Probation & Youth Justice Services office. Provide administrative support and assistance to the Provincial Manager, Adult Probation Services Manager, Youth Justice Services Manager, and to Adult Probation and Youth Justice Services Teams.
Duties will include but are not limited to:
- To provide Admin Support to Adult Probation and Youth Justice Services management and teams;
- Prepare new client files, to include, requesting CPIC (Canadian Police Information Centre) records from the RCMP, retrieving confidential criminal records and account receivables balances from Crystal Reports, calculating the effective dates of Probation, Conditional Sentence Orders and Custody and Supervision Orders;
- Create and maintain Adult Probation Services and Youth Justice Services client databases;
- Data entry of Probation Orders, Conditional Sentence Orders, Custody and Supervision Orders, Fine Option and Alternative Measures files on both Adult Probation Services and Youth Justice Services databases;
- Type Court documents;
- Act as a primary point of contact for Adult Probation Services and Youth Justice Services for clients, multiple agencies, building maintenance and the public;
- Distribute and retrieve information pertinent to client intake and case management;
- Receive and direct telephone calls to staff, and/or take detailed messages to direct to the appropriate staff member;
- Set up new employee onboarding and tasks related to employees exiting a position;
- Coordinate the orderly retention and destruction of files according to the Classification Plan and Retention Manual (CPRS);
- Respond to inquires, in person and by telephone, in a sensitive and confidential manner;
- Coordinate various team and committee meetings, to include scheduling locations, notifying involved parties and ordering refreshments; and
- Other duties as required.
Minimum Qualifications:
- Completion of grade twelve supplemented by a recognized office studies program;
- Knowledge and experience of computer programs (Outlook & Microsoft Office Suite) and software programs (Crystal Reports);
- Demonstrated equivalencies will be considered.
- Ability to work independently, multitask and perform duties as required;
- Trustworthy and possess a high level of confidentially;
- Previous experience dealing with the public in an administrative support capacity;
- Excellent verbal and written communication skills, strong interpersonal skills;
- Able to work under stress and offer support to meet deadlines in preparing Court documentation;
- Be well organized and employ good time management skills as working agenda changes drastically depending on the needs of Probation/Youth Justice Services Staff;
- Previous experience dealing with legal documentation and Oracle Financial System would be an asset;
- A good previous work and attendance record and an acceptable criminal record check.
