About the role

Please note this role will work in a hybrid environment. The successful candidate must be located near a Canadian Blood Services site and will be working a mixture of on-site and off-site work based on the parameters for our operations to meet the needs of our donors, our staff and our communities. Currently, employees are expected to have an in-person presence for at least 40% of their work time. This requirement may vary depending upon circumstances.

About The Role Canadian Blood Services is seeking a Temporary Full-time Coordinator - Stakeholder Support to join our dynamic Organ and Tissue Donation & Transplantation team in our Medical Affairs and Innovation division.

The Organ and Tissue Donation & Transplantation (OTDT) team within collaborates with partners and stakeholders (internal and external) to develop and strengthen the foundational elements that contribute to a high-performing organ and tissue donation and transplantation system.

In this role, within the Organ and Tissues Donation and Transplantation team, you will provide routine operational, and administrative support, assist in the coordination of external stakeholder event and committee meeting logistics and associated correspondence, tracking and reporting.

Formula for success

  • Utilizing your experience of event planning you will coordinate meetings and events for various initiatives, committees, working groups and leading practice groups; including but not limited to event scheduling, travel arrangements, travel expense management, accommodations, audio/visual requirements, catering coordination, set-up, tear-down and on-site support.
  • Leveraging your organization skills and administration experience you will provide support to program teams with stakeholder attendance tracking, correspondence, bibliographies and member or participants lists in addition to other assigned tasks.
  • Cooperatively manage a shared inbox responding to stakeholder requests in a timely manner, acting as the point of contact for external queries and requests. Provide project support to internal program leads as assigned, including but not limited to coordinating communications with project stakeholders, updating project websites, newsletters and communiqués, while ensuring compliance with brand, best practice and style guides.

Desired Education And Skills

  • Completion of post-secondary education from a recognized institution, holding diploma/certification in office administration, business, or a related field.
  • Minimum of 3 years related administrative work experience including event planning , stakeholder engagement, secretariat services or similar
  • An equivalent combination of education, training and experience may be considered.
  • Demonstrated knowledge of office routines and protocols with the ability work independently.
  • Effective communication skills, both verbal and written. Bilingualism preferred.
  • Demonstrated ability to foster positive relationships with internal and external stakeholders and identify reputational risk, as a point of contact and representative of Canadian Blood Services.
  • Demonstrated ability to organize work effectively and set priorities.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, and other related software programs is essential.
  • Proficiency in digital platforms (websites, social media, newsletter and customer relationship management software etc.). Graphic design experience is considered a strong asset.
  • Experience working with government secretariat processes and/or in health policy environments is a strong asset.

What You Can Expect

  • This role will work in a hybrid environment with requirements to be onsite at Canadian Blood Services location 40% of the time of the week, working 7 hours a day, 37.5 hours a week.
  • Travel requirements - travel will be required to attend events and team meetings.
