Job Summary
The Executive Assistant is responsible for a wide variety of administrative duties in support of the Senior School Principal. Regular duties include,but are not limited to, managing the office of the Principal, helping to coordinate the school calendar, handling correspondence and publications.
Special projects at times throughout the year include, but are not limited to, working collaboratively with the Events Officer to support various school events.The Executive Assistant is required to maintain confidentiality and interact professionally with faculty, staff, students and parents. Qualifications include:
● Minimum 3 years of relevant experience.
● Post-Secondary Diploma in Business Administration, or relevant discipline, preferred.
● Demonstrated ability to take initiative.
● Proven organizational and time management skills.
● Ability to juggle priorities between multiple key areas of responsibility.
● Excellent computer skills, with a superior knowledge of Google suite.
● Good communication and interpersonal skills.
● Good judgment and professional demeanor.
● Keen attention to detail.
● Key competencies and EQ in the following areas: self-awareness, self-management, empathy, social expertness, initiative, and accountability.
Responsibilities include :
● Office Management – Provide direct administrative and office management support to the Principal, including management of mail, phone calls, and visitors. Present a positive and professional image of the office of the Principal to all visitors, suppliers, and other persons.
● Financial Management – Complete expense reports, pay invoices, track budgets, and complete other duties related to the financial operations of the office of the Principal.
● Correspondence – Manage correspondence, school publications, and awards, book prizes, and certificates requiring approval and/or signatures from the Principal/Head of School.
● Calendar Management – Review all calendar entries and identify conflicts and tension points in the schedule. Ensure that all academic periods and changes to the schedule are accurately represented in the school database.
● Maintain work schedules and calendars of the Principal.
● Is the point person on the ‘week ahead’ publication, gathering all information from various stakeholders; reviewing, editing and distribution.
● Is the point person on the weekly eNews publication for the Principal’s leadership team, gathering all information from various stakeholders, reviewing and editing.
● Attend bi-weekly Booking Team meetings for oversight and problem solving.
● Review and format all information for presentation slides for all assemblies and share with the Principal, Vice Principals, and Heads of Grade.
● Manage school photos, liaise with school photographers to arrange student photos, retakes, and grad portraits.
● Assist the Senior School Leadership Team in a variety of areas specific to school standards and expectations, including filing and record keeping, generating reports, and supporting school programs and initiatives.
● Facilitate the administration of various programs led by the Vice Principals.
● Facilitate the organization and execution of various Senior School events, including assemblies and annual commemorative ceremonies and celebrations.
● Facilitate the administration of students’ day lockers, maintain and update allocations as required.
● Organize and manage school office supplies, including stocking of printing rooms and the staff room.
● Oversee lost and found for high-value items with inquiries, storage and return of items,
and liaise with parent volunteers assisting with the lost and found room for non-valuable
items.
● Coordinate teacher on-call coverage responsibilities in consultation with the Assistant Vice Principal, Academics.
● Other duties and projects shall be assigned as required.
Job Type: Part-time
Pay: $55,000.00-$65,000.00 per year
Expected hours: 40 per week
