About the role

Purpose of Role

Reporting to the HR Manager, the Payroll & Benefits Administrator will ensure accurate processing and recording of company’s Canadian payroll, provide timely and accurate financial information, participate in daily data entry Payroll processing and oversee the retirement programs. This role will also serve as a backup for the US payroll personnel as needed.

Key Duties and Responsibilities

  • Perform daily payroll department operations
  • Manage workflow to ensure all payroll transactions are processed accurately and timely
  • Reconcile payroll prior to transmission and validate confirmed reports
  • Understand proper taxation of employer paid benefits
  • Ensure compliance with all related federal/provincial legislation and internal policies, deductions, tax withholdings
  • Process WSIB month-end remittances, bi-weekly RPP, RRSP, TFSA, remittances
  • Complete WSIB annual reconciliation. Apply knowledge of Financial Services Regulatory Authority of ON to report Annual Information Return and Financial Statements online for RPP, Form 7 due Feb 28 annually
  • Conduct quarterly audits and reviews of benefit and pension enrolment
  • Process correct garnishment calculations and compliance (done by ADP as per garnishment requirements)
  • Process accurate and timely year-end reporting when necessary (T4, etc.)
  • Process YTD adjustments on a regular basis
  • Develop ad hoc financial and operational reporting as needed
  • Research and email appropriate audience of file issues
  • Complete monthly journal entries for Accounting
  • Download group benefits invoices and billing details
  • Complete MYHSA detail expenses for accounting to match invoices
  • Provide backup for both hourly and salaried US payroll processing (occasionally when the current US payroll person is out of office)
  • Adhere to Condair’s Quality Assurance System and Health and Safety policies
  • Other duties as assigned by management

Professional Skills, Qualifications, and Competencies

  • Education and Experience: Minimum five (5) years relevant experience in payroll processing. College diploma or University degree in accounting, finance or business required. Payroll Compliance Practitioner (PCP) designation preferred. Experience in processing US payroll an asset.
  • Language Skills: Fluent in English (reading, writing, spoken). Ability to communicate clearly in person and over the phone and use language appropriately in variable situations.
  • Ability to Reason: Ability to see and make decisions based on the big picture. Ability to deal with problems involving multiple variables. Ability to multi-task and prioritize tasks on daily bases.
  • Computer Skills: Proficient user of MS Word, Excel, Teams and Outlook required. SAP knowledge is advantageous. Experience with ADP is required.
  • Math Skills: Basic skills; ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to carry out basic financial analyses.
  • Other: Understanding of documentation control principles, adhere to strict confidentiality of employee and company documents, electronic files and other information.
