SCOPE
Reporting to the Manager, Career and Planning Services (CAPS), the incumbent supports employer recruitment efforts at Concordia by ensuring the efficient administration of job postings and recruitment offerings. They work closely with CAPS Career Advisors, employers, and internal administrative teams to fulfill employer requests related to employer offerings. This position requires regular, professional interaction with employers, university departments, and student support units to ensure seamless coordination of job postings and recruitment events.

PRIMARY RESPONSIBILITIES

• Maintain the CAPS Job posting database by reviewing, processing, and approving job postings in a timely manner. Conduct due diligence on employer accounts and job postings to ensure alignment with Concordia’s recruitment policies and student career interests.

• Provide high-quality customer service to employers using CAPS services by assisting them in navigating available recruitment offerings. Facilitate employer registration and service inquiries efficiently and professionally. Respond to inquiries from Concordia students, staff and faculty.

• Responsible for the setup and execution of small employer-led events (such as company information sessions and kiosks), including scheduling, registration, venue booking, invoicing, and day-of logistics to ensure smooth event facilitation.

• Collect, track, and process payments from employers for recruitment events. Follow up on invoices and maintain accurate records related to employer transactions.

• Liaise with internal departments (such as CMS and Co-op) to facilitate the sharing of job postings, employer information, and logistical arrangements for events.

• Support the logistical planning and execution of large scale CAPS-led career events (such as Career Fairs, Career Panels) in collaboration with CAPS Career Advisors. Assist with registration management, venue setup, employer communications, and event-day logistics to ensure an efficient and well-run experience for all participants.

• Compile and tabulate data and statistical information on employer job postings, CAPS events, and other service use statistics, to support service tracking and event evaluation.

• Assist in the timely information dissemination promotion of CAPS offerings through pre-approved channels.

• Perform administrative tasks to support CAPS operations, including managing internal records, and triaging service requests.

• Perform other duties in support of the operation of the unit.

QUALIFICATIONS

• Diploma of Collegial Studies and two to four years of related work experience. Knowledge and/or experience in a university work environment an asset.

• Experience in employment services and knowledge of the Canadian and Quebec job market an asset.

• Good spoken and written English (Level 4) and French (Level 4) in order to communicate effectively with students and employers.

• Intermediate knowledge of Word, Excel, PowerPoint and Outlook, MS 360 and MS Forms

• Knowledge of Orbis scheduling /database system an asset.

• Knowledge of room booking software an asset.

• Keen attention to details.

• Excellent organizational and time-management skills.

• Excellent customer service, interpersonal and communication skills with the ability to deal sensitively and professionally with individuals.

• Aptitude to work in a service-oriented environment as both a member of a team and independently.

• Ability to work effectively under pressure during peak periods

• Excellent multi-tasking ability.

• Highly motivated, professional with experience working in customer service and as part of a team

• Approachability (is sensitive and patient with others) and Composure (is a calming influence in a difficult situation) are considered assets.
