Role:
The Finance Assistant, reporting to the Director of Finance and the Executive Director, will be responsible for supporting the finance department with day-to-day financial transactions, record-keeping, and administrative duties. The incumbent will ensure accuracy, efficiency, and compliance in financial operations while assisting with reporting, budgeting, and reconciliation tasks.
Key Duties and Responsibilities:
· Process invoices, purchase orders, and expense claims, ensuring accuracy and adherence to organizational policies
· Maintain and update financial records, including accounts payable (AP) and accounts receivable (AR)
· Reconcile bank statements, supplier accounts, and petty cash transactions
· Ensure timely payments to suppliers and follow up on outstanding receivables
· Assist in preparing and monitoring program budgets, ensuring expenditures align with funding requirements
· Support in preparing financial reports for grants, donors, and board meetings
· Track funding allocations and assist in financial forecasting to ensure sustainability of programs
· Provide financial summaries for management to support decision-making
· Assist in preparing monthly, quarterly, and annual financial reports
· Monitor expenditures and assist in cost control measures
· Ensure financial transactions comply with non-profit regulations, CRA requirements, and funder agreements
· Assist in preparing financial documentation for audits and liaising with external auditors
· Support financial reporting for government funding, grants, and charitable donations
· Maintain confidentiality of financial and donor-related information
· Respond to finance-related inquiries from internal and external stakeholders
· Maintain an organized filing system for financial documents, invoices, and reports
· Support the finance team with ad hoc projects and administrative tasks
· Other tasks and duties as assigned and required
Qualifications
· A Diploma or Bachelor's degree in Finance, Accounting, Business Administration, or a related field
· 1-3 years of experience in a finance, accounting, or bookkeeping role preferred, ideally in a non-profit or social services organization
· CPA or other professional finance/accounting designation is highly preferred
· Proficiency in financial software (QuickBooks strongly preferred) and Microsoft Office Suite (Excel, Word, Outlook)
· Understanding of CRA regulations, HST/GST rebates, and charitable organization compliance
· Knowledge of nonprofit accounting principles, financial reporting standards, and regulatory compliance
· Familiarity with non-profit accounting practices, fund accounting, and donor reporting requirements a strong asset
· Experience with grant management, budgeting, and financial reporting for government and private funders a strong asset
· Exceptional verbal and written communication skills, with the ability to explain financial information to non-financial stakeholders
· Excellent organizational and time-management skills
- Strong attention to detail and accuracy in financial data entry and processing
· Strong strategic thinking, problem-solving, and decision-making skills
· Great analytical and problem-solving abilities
· Ability to analyze complex financial data and present it in a clear, understandable format for a wide range of stakeholders
· Ability to work independently and as part of a team in a fast-paced environment
· Ability to handle sensitive information with integrity and maintain confidentiality
Working Conditions
- On-site work environment with regular on-site presence required for team collaboration
- Some evening or weekend hours may be required to meet deadlines or attend events
Job Types: Full-time, Fixed term contract
Pay: From $20.00 per hour
Expected hours: 40 per week
Additional pay:
