The Ministry of Environment is seeking a highly motivated, results oriented individual to lead the financial, human resources and administration of the Lands Branch. As the Executive Administrative Assistant, you will provide executive-level administrative leadership to support the branch and team by:
- managing the Executive Director's calendar through collaboration, prioritization and scheduling;
- providing confidential executive support to the Executive Director and branch management team;
- managing the administrative functions of the branch including ensuring the coordination of branch documents is handled efficiently and accurately by administrative staff – i.e., requests for prior approvals, briefing notes, referral and casework responses, contracts and requests for payment, etc. This includes coordination with Communications, Client Service Branch, Corporate Services Branch, Deputy Minister’s Office and the Public Service Commission;
- providing advice to branch staff and management team regarding financial and contract policies and procedures and government processes, policies and standards;
- providing support to the branch in collaboration with the Human Resources Business Partner in regard to the HR Plan and being able to provide guidance to the branch management team with respect to branch staffing, position number management, issues resolution and human resource matters;
- monitoring administrative processes and making improvements across the branch to ensure optimum efficiency;
- planning, scheduling and coordinating travel and logistics for meetings and other events;
- drafting, proofreading and/or editing a variety of correspondence in accordance with Government of Saskatchewan visual identity standards;
- participating in and coordinating management meetings including drafting and distributing agendas; recording minutes; meeting materials; and tracking and monitoring action items to ensure timelines;
- managing incoming and outgoing correspondence ensuring proper distribution;
- maintaining manual and electronic filing, bring forward and records management systems;
- verifying and coding invoices for approval and payment while ensuring policy compliance;
- ordering supplies and arranging furniture replacement;
- coordinating staffing actions and supporting hiring documentation; and
- other duties as assigned.
Ideal Candidate
The ideal candidate will be an experienced administrative professional, who is:
- independent and confident to organize, prioritize and proficiently complete multiple tasks while dealing with frequent interruptions and deadlines;
- approachable and collaborative in order to build strong working relationships with various team members;
- an exceptional communicator both verbally and in writing;
- innovative in order to identify and make process improvement recommendations;
- thorough and accurate to ensure quality work;
- adaptable in order to meet new challenges as they arise; and
- demonstrates the Government of Saskatchewan values.
Typically, the knowledge and experience required for this position is obtained through:
- a combination of formal education in business or office administration, combined with work experience in a similar role; and
- experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook) and SharePoint.
