Job Summary
We are seeking a highly organized and motivated Receptionist/Administrative Assistant to join our team. The ideal candidate will serve as the first point of contact for our clients, providing exceptional customer service and administrative support. This role requires a blend of strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Duties
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage incoming phone calls using multi-line phone systems, directing calls to appropriate personnel.
- Schedule appointments and maintain calendars for staff members.
- Perform administrative tasks including filing, data entry, and document preparation.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Maintain organized records of client interactions and transactions using computerized systems.
- Assist with billing and invoicing processes, including familiarity with QuickBooks.
- Support dental or medical office operations by ensuring compliance with protocols and procedures.
- Collaborate with team members to enhance office efficiency and improve client experiences.
Requirements
- Proven experience in an administrative role, preferably as a receptionist in a dental or medical office setting.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing.
- Proficiency in using computer software applications, including Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with QuickBooks is a plus.
- Excellent organizational skills with attention to detail and the ability to prioritize tasks effectively.
- Ability to type accurately at a reasonable speed.
- Experience handling customer support inquiries with professionalism and empathy.
- A positive attitude and willingness to learn new skills as needed.
