About the role

This role supports our finance department and the ideal candidate will have experience with Accounts Payable and Accounts Receivable.

This is a full-time, permanent position with a total compensation plan including:

Key responsibilities include but are not limited to:

  • Assisting with Accounts Payable for various facilities
  • Creating Purchase Orders for various facilities
  • Data entry using in-house software and spreadsheets
  • Answer general phone inquiries in a professional & courteous manner
  • Update and send general and workplace insurance documentation to clients
  • Enter and update purchase orders in the Material Tracking System
  • Direct phone inquiries to the appropriate staff member
  • Relay voicemail from the general mailbox to the appropriate staff member
  • Reply to general requests with accurate information
  • Greet visitors to the company in a professional and friendly manner
  • Use computer word processing, spreadsheet and database software
  • Sort incoming faxes, mail and packages for distribution
  • Prepare outgoing faxes, mail and packages for management and directors
  • Data entry and upkeep or organization data bases ensuring a high level of accuracy
  • Create, update and provide tracking reports to clients as required
  • Maintain electronic and hard-copy job filing system for associated documents
  • Provide administrative support to management and other staff
  • Additional duties as assigned

Qualifications:

  • Post-secondary education in office, business, accounting or equivalent
  • In-depth knowledge of Microsoft Word, Excel, and PowerPoint
  • Experience with AccPacc an asset
  • 1-3 years’ related work experience
  • Accounting experience, particularly with Accounts Payable would be an asset
  • Well organized & meticulous eye for detail
  • Strong time-management skills and competency for handling multiple tasks/projects and objectives quickly
  • Strong verbal and written communication skills
  • Outstanding inter-personal and problem solving skills
  • Ability to work in a team environment and able to function effectively as a member of a team
