In this customer-facing role, you’ll be the go-to person for coordinating shop and field service activities, ensuring every work order flows smoothly from start to finish. From managing paperwork and scheduling technicians to supporting our service team and building strong customer relationships, you’ll play a vital role in keeping our operations running efficiently and professionally.

Job Description:
- Serve as the first point of contact for customers, responding to inquiries in a professional and courteous manner.
- Collaborate with the shop foreman to manage and track all work orders.
- Coordinate with parts personnel to ensure accurate parts usage and billing.
- Schedule field technicians and maintain the service board to support efficient operations.
- Open and close Maintenance Customer Orders (MCOs) and work orders.
- Track and retrieve purchase orders (POs) from customers.
- Provide technicians with daily paperwork and job details.
- Maintain invoice folders, safety records, and service documentation.
- Monitor and order shop supplies and parts inventory as needed.
- Activate site access processes and support safety compliance tracking (e.g., near misses, incidents).
- Process accounts payable and expense reports.
- Support customer service representatives and build strong relationships with local customers and team members.
- Perform other administrative duties as required to support branch operations.
Qualifications:
- Minimum 2 years of administrative experience; experience in a service or rental environment is an asset.
- Strong organizational skills with the ability to manage multiple schedules and priorities.
- Proficient in Microsoft Office applications, especially Outlook, Excel, and Word.
- Strong reading comprehension and attention to detail.
- Experience with inventory or parts coordination is considered a strong asset.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.

- This position is based out of our Edmonton TCRS location.
- Permanent, full-time role.
- Monday – Friday, 5 x 2 schedule.
