Division: Health Protection
Location: Main Office – 1300 Paris St., Sudbury
Work Location Arrangement: Fully On-site – the position requires 100% on-site placement; it is operationally dependent based on established criteria; remote work is not an option.
Salary: $35.55 to $40.56 per hour

Position summary:

We are currently seeking a highly motivated health professional to contribute to our organizational mission of working with our communities to promote and protect health and prevent disease.

Reporting to the Divisional Administrative Assistant, the Administrative Assistant provides administrative support to the managers and staff of the division and is responsible for the supervision of assigned staff.

Responsibilities:

  • Provides administrative support to assist in the efficient operation of the division, program, and/or service area.
  • Provides confidential administrative support for the division and/or service area.
  • Provides input into documentation and quality assurance measures and ensures that action is taken in response to clerical and process issues.
  • In collaboration with the DAA/Manager(s), ensures efficient division administration and program delivery through the effective leadership of a team where applicable.
  • Contributes to the determination of the philosophy/goals and objectives and the overall strategic direction of the program/division administrative area in consultation with the DAA/Manager(s).
  • Supports the DAA/Manager(s) and the team(s)/service area(s) in the development, implementation, and monitoring of policies, procedures, and program or operational plans.
  • Participates in relevant internal and external research studies/special projects and committees. Develops, implements and evaluates independent projects as required.
  • Provides learning experiences for staff, students, and volunteers.
  • Supports the DAA/ Manager(s) in the development, maintenance, and adherence to inter-agency protocols or other documentation to facilitate communication amongst external agencies.
  • May provide backup support for the DAA or Manager(s) in their absence related to day-to-day program and divisional administrative issues.
  • Participates and may record minutes at divisional management meetings regularly or when requested.
  • Serves as the recorder for various committees, including taking minutes and distributing meeting materials as needed.
  • Provides periodic reports to the DAA/Manager(s) as requested.

Requirements:

  • Successful completion of a post-secondary secretarial/administrative program or equivalent education, training, and work experience.
  • Supervisory experience is preferred.
  • Minimum of two years’ experience performing secretarial/administrative duties required.
  • Experience performing confidential secretarial/administrative duties is preferred.
  • Demonstrated project/program management, interpersonal, and administrative skills, including the ability to set priorities, establish timeframes, and organize resources.
  • Strong strategic, analytical, and problem-solving ability.
  • Experience in developing and supporting collaborative relationships with different groups or agencies.
  • Excellent communication (verbal and written), negotiation, and problem-solving skills.
  • Ability to handle sensitive issues diplomatically and confidentially.
  • Ability to work independently and as an integral team member.
  • Advanced proficiency in word processing and presentation software, email management, Internet/intranet navigation and spreadsheet applications.
  • Experience with database software is an asset.
  • Advanced oral and written proficiency in English is required.
  • Advanced oral and written proficiency in French is an asset.
  • Maintains a means to travel on an occasional basis (i.e. having a current valid driver’s license and access to a vehicle).
