What you’ll do (the highlights)

As a part of the Centralized Services team, the Scheduling Coordinator manages location schedules and fulfills all tasks associated with this including, but not limited to, updating master templates and schedules, vacancy coverage overtime requests and on-call support. The position of Scheduling Coordinator functions in a manner consistent with and supports the mission, vision and values of DASCH.

What that looks like:

  • Working Full-Time Monday-Friday in an office-based position
    • Must be able to flex hours based on position needs
  • Receive support and guidance from the Scheduling Manager
  • Ensure location schedules are accurate, available, and posted three months in advance.
  • Complete and remain updated on tracking of sick and shift cancellation notifications.
  • Communicate sick and shift cancellation notifications to Location Supervisors and Program Managers to follow up
  • Liaise with Casual Team Supervisor to promote effective utilization of the Casual Support Staff
  • Cultivate relationships with DASCH staff to foster a team first approach to staffing all locations while minimizing overtime accruals.
  • Identify and prioritize must fill vacancies, reallocating scheduled staff as necessary.
  • Maintain awareness of location specifics and support requirements for all locations.
  • Identify and complete job postings based on the needs of the location and current staff schedule.
  • Maintain location master templates noting changes to contracted shifts and shift structure.
  • Review, analyze and action all job posting requests.
  • On a rotational basis carry the Staffing Support Line Cell Phone.
  • Update Program Assistants and Payroll (as applicable) with payroll changes as they occur.
  • Approve, deny all overtime requests.
  • Approve, deny shift change requests.
  • Categorize and action all communication to the Shift Email daily.
  • Update, review and distribute shift vacancies to staff.
  • Provide end of day, and end of week update emails to staffing line support designate when applicable.
  • Manage and update staff schedule to allow clear expectations of employee attendance.
  • Find and document necessary coverage for staff absences.
  • Leverage new technology as available to enhance personal and team efficiency.
  • Review and process time off requests through UKG in accordance with policies.

Your qualifications:

  • Minimum of two years’ administrative experience.
  • Experience in logistics preferred.
  • Proficient in the use of Microsoft Office.
  • Experience with Human Resources Management systems advantageous
  • Able to obtain Non-Violent Crisis Intervention certification
