YOUR IMPACT
We are seeking a highly organized and experienced Sr. Facilities Program Manager to join our team. This role will provide dedicated project management services to the Facilities team across the Americas, with potential support for global initiatives as needed. The successful candidate will be responsible for end-to-end program oversight of Facilities-related projects, ensuring alignment across design, construction, IT, workplace services, and other key stakeholders.
WHAT THE ROLE OFFERS
- Program Management:
- Lead the development and execution of comprehensive facility project plans.
- Lead end-to-end delivery of office construction and tenant improvement (TI) projects, including budget development, scheduling, procurement, execution, and post-occupancy evaluation.
- Establish project work schedules, assign responsibilities, and monitor progress to ensure alignment with strategic objectives and stakeholder expectations.
- Identify and implement improvements to project management practices, templates, and delivery methodologies.
- Identify complex project risks, lead reviews, and develop risk mitigation and backup plans.
- Lead by example, modeling OpenText values and fostering a culture of collaboration, accountability, and innovation.
- Coordinate cross-functional deliverables including:
- Ensure contract procurement, negotiation, administration, and closeout are performed in a compliant and timely manner
- Construction and renovation activities
- IT infrastructure and systems
- Workplace services and logistics
- Signage and branding
- Security systems integration
- Office space planning and seat assignments
- Financial Oversight:
- Manage project budgets, forecasts, and financial reporting. Support CapEx cycle development
- Track expenditures and ensure alignment with approved funding.
- Report on key performance indicators (KPIs), project health, and stakeholder engagement status to Facilities leadership.
- Track project costs, expenses, vendor billing, and change orders, providing regular financial reporting and budget forecasting to leadership
- Stakeholder Communication:
- Prepare and present project updates and executive summaries for Senior Leadership Team (SLT) and Executive Leadership Team (ELT).
- Act as the primary liaison between Facilities, IT, and other internal/external partners.
- Report on key performance indicators (KPIs), project health, and stakeholder engagement status to Facilities leadership.
- Coordinate with internal departments (Workplace Services, Sourcing, IT, HR, Security, Legal, etc.) to ensure smooth execution of cross-functional dependencies.
- Guide project teams and consultants through design development, permitting, construction, and commissioning.
- Manage external vendors, architects, engineers, and general contractors for quality assurance, schedule adherence, and compliance with OpenText standards Conduct regular site meetings, issue resolution, and monitor construction progress to mitigate risks and maintain schedule integrity.
- Site Coordination:
- Develop and implement risk mitigation strategies for complex project challenges, including change management planning in live environments.
- Conduct regular site visits to monitor progress and ensure quality standards.
- Coordinate with contractors, vendors, and internal teams to resolve issues and maintain timelines.
WHAT YOU NEED TO SUCCEED
- Bachelor’s degree in Project Management, Construction Management, or a related field preferred. Equivalent education and experience will be considered.
- 8+ years of progressive project/program management experience, preferably incorporate office fit-outs, renovations, and capital projects (inc. building infrastructure).
- Proven ability to manage complex, cross-functional projects with multiple stakeholders.
- Proven success managing projects in occupied environments with minimal disruption to business operations.
- Advanced organizational and analytical skills; ability to manage multiple projects, deadlines, and shifting priorities.
- Strong knowledge of construction law and construction contracts i.e. CCDC, AIA, etc.
- Familiarity with construction, health and safety standards and local building codes is an asset
- Strong understanding of Workplace services integration and IT infrastructure.
- Strong leadership and interpersonal skills with the ability to manage multi-disciplinary teams, external vendors, and senior stakeholders
- Professional certifications such asPMP, PMI-CP,strongly preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams), project management software.
- Ability to work independently and travel between sites as required.
Work Environment:
- Occasional travel to construction sites and other regional offices as needed.
