The Role
Northwestern Polytechnic is seeking an experienced and highly organized Executive Assistant to the Vice-President Academic. This key position ensures the effective operation of the Vice-President’s Office by providing advanced administrative support, managing complex schedules, coordinating divisional activities, and serving as a professional liaison within and beyond the institution. This role is integral to the success of the Academic Division and directs the operations of the Academic Council in accordance with the Post-Secondary Learning Act.
Key Responsibilities:
- Manage the daily operations, communications, and calendar for the VP Academic, exercise discretion and judgment in decision-making and issue resolution.
- Organize, attend, and maintain records for high-level divisional committees and Academic Council, including agendas, minutes, and policy follow-up.
- Coordinate strategic academic planning, divisional timelines, budget monitoring, capital requests, and faculty workload tracking.
- Support academic policy review processes, facilitate meetings, and promote divisional collaboration.
- Partner with other executive assistants to ensure cohesive operations of the Executive Office.
Salary Annual range is $75,444 - $95,403.
Job Requirements
The successful candidate will have a minimum of a diploma in Business Administration and 3 years experience or equivalent education and experience. Necessary skills and attributes to be successful in this role include:

Strong proficiency in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook; and experienced with institutional software systems;
-
strong organizational and multi-tasking skills;
-
excellent communication and interpersonal skills;
-
experience coordinating governance processes and working with councils/committees is considered an asset;
-
ability to build strong relationships across the organization; and
-
a high level of integrity, professionalism and accountability.
