Alberta University of the Arts (AUArts) is looking for Policy and Records Assistant to provide administrative support for the AUArts’ policy development and records management programs.
This is a permanent part-time position starting as soon as possible. Hours of work are 21 hours (3 days) per week, 7 hours per day.
Reporting to the University Secretary, the Policy and Records Assistant role assists with policy and records initiatives within document compliance within organizational and regulatory requirements. The Assistant assists with various departmental goals, including improving records management practices, assisting with communication, projects, and provides general administrative support for the area.
Key Responsibilities:
Document Administration
- Edits, formats, and converts policy documents into designated templates
- Maintains the AUArts Policy Repository and sponsor listings
- Updates documents to the Policy and Procedure section of the university website
- Sources external examples to support policy sponsors
- Assists with policy initiatives, including updates to templates and reporting
- Serves as a contact for staff inquiries about the policy program
Records Management
- Maintains the AUArts Records Management Repository, identifying personal information and vital records
- Assists in annual reviews of information capture and management processes
- Compiles and reports on program performance
- Updates and manages the records management SharePoint and university website
- Supports the design and delivery of records management initiatives, including training
- Assists with processing approved Records Management Activity Orders
- Acts as a point of contact for staff inquiries about the records management program
Administrative Support
- Maintains the Governance section of the university website and manages Board/GFC SharePoint sites, including site organization and data updates
- Assists with meeting logistics, such as setup, catering, and parking (including some evening events)
- Prepares documents, such as assisting with annual reports and membership forms
- Assists with scheduling meetings for the University Secretary
- Processes expenses and books travel for the University Secretary and Board Chair
- Provides general administrative support as required
Qualifications:
The following qualifications have been determined to promote likelihood of success in the role. In alignment with the principles of inclusion, individuals with an alternative equivalent qualification may be considered.
- High school graduation, plus some post-secondary training
- 1-2 years relevant experience in policy, records, or governance support
- Demonstrated proficiency in data entry and Microsoft office Suite (Word, Excel, SharePoint)
- Demonstrated experience interacting with senior executives and Board members
- Demonstrated experience in a post-secondary or public sector environment is an asset
- Knowledge of document website management is an assest
- Knowledge of post-secondary legislation, policies, and procedures is an asset
