About the role

Job Summary:

The Office Administrator is responsible for overseeing daily administrative operations within the retirement home. This role ensures smooth office functions, supports management and staff, and provides excellent service to residents and families. Key responsibilities include clerical tasks, record-keeping, financial administration, and customer service.

Key Responsibilities:

Administrative Support:

  • Manage and maintain resident files, employee records, and other essential documents (i.e. compliance documents for the RHRA).

  • Handle incoming calls, emails, and inquiries from residents, families, and vendors.

  • Prepare correspondence, reports, and official documents as required.

  • Schedule and coordinate meetings, appointments, and staff training sessions.

Resident & Family Support:

  • Greet and assist residents, families, and visitors in a professional and friendly manner.

  • Address resident concerns and direct them to the appropriate department.

  • Assist with resident admission and discharge paperwork.

Financial & Billing Tasks:

  • Process invoices, track expenses, and assist with budget management.

  • Handle resident billing, payments, and accounts receivable.

  • Work with vendors and suppliers to manage contracts and payments.

Human Resources Assistance:

  • Support hiring processes, including scheduling interviews and onboarding new employees.

  • Maintain employee records, including timesheets, benefits, and compliance documents.

  • Assist with payroll processing and scheduling.

Office Management:

  • Maintain office supplies inventory and place orders when needed.

  • Ensure office equipment (printers, copiers, computers) is operational and serviced as required.

  • Enforce company and RHRA policies and procedures within the administrative office.

Education - Completed post secondary program in a related field

Schedule: 3 days/ Week

Work Location: One location
