NAIT is currently seeking a highly skilled Executive Assistant to support our Vice President Administration & Chief Financial Officer. The ideal candidate will be detail-oriented, organized, and possess excellent communication skills, thriving in a dynamic, fast-paced environment. You’ll be expected to uphold the highest ethical standards in a professional manner in all interactions and responsibilities.

Key Accountabilities:

  • Manage and maintain the calendar of the VP Administration & Chief Financial Officer, scheduling appointments and meetings efficiently.

  • Monitoring and reviewing email accounts associated with the office of the VP Administration & Chief Financial Officer, taking initiative to note action items arising from same.

  • Main point of administrative contact for the Advanced Skills Centre Project and RISE (Resilience, Innovation, Sustainability, Engagement) team, which includes scheduling meetings, preparing agendas, taking minutes, etc.

  • Organize and prioritize incoming requests and correspondence to streamline operations, including phone calls and correspondence.

  • Prepare reports, presentations, and other documents as required with precision and timeliness.

  • Coordinate logistics for meetings, conferences, and events, including travel arrangements, accommodations and completing expense reports.

  • Maintain confidentiality and handle sensitive information with discretion and integrity.

  • Collaborate effectively with various teams including an Executive Assistant team, and external stakeholders to support organizational goals.

  • Effective Communication: Strong written and verbal communication skills are crucial for liaising with internal and external stakeholders, including empowerment to speak up, ask questions and raise concerns, navigating complex situations and contributing to an environment of transparency and respect.

  • Planning and Prioritization: Ability to plan, prioritize, and adjust workloads to meet organizational demands.

  • Accountability: Holds self and others accountable to meet commitments, ensuring follow-up when necessary.

  • Results-driven: Demonstrates the ability to achieve goals with exceptional quality and organization in a fast-paced environment.

  • Attention to Detail: Meticulous in work, capable of handling large volumes of information accurately and efficiently.

  • Complex Problem Solving: Can navigate complex information and find creative solutions to daily challenges.

  • Confidentiality: Maintains confidentiality with sensitive information and handles it appropriately with discretion.

Qualifications:

  • Related post-secondary certificate or diploma.

  • Minimum of 5 years’ experience as an Executive Assistant or similar role. Equivalencies may be considered.

  • Proficiency in Microsoft Office, email, and relevant software is required.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration: $56,358.12 - $74,672.78 annually, plus a comprehensive benefits package.
