We are currently recruiting for an Accounts Receivable Clerk to join our HeavyAero team in Edmonton, Alberta.

Reporting to the Controller, the Accounts Receivable Clerk is responsible for the entry, reconciliation and invoicing within the accounts department. This includes input and reconciliation of invoicing, payables, timecards, and any other area related to the AR processes of HeavyAero Maintenance Centre.

Roles and Responsibilities:

Accounting Operations

  • Generate and issue invoices to customers in an accurate and timely manner
  • Monitor accounts to ensure timely receipt of payments and follow up on outstanding balances
  • Reconcile customer accounts and investigate discrepancies or payment issues
  • Process payments and apply them to appropriate customer accounts
  • Collaborate with project and accounting teams to reconcile receivables against projects
  • Maintain and update customer records in QuickBooks Online and other financial systems
  • Support outsourced accounting/finance functions as required, ensuring consistent communication and information flow
  • Participate in process improvement initiatives related to accounts receivable and broader financial operations
  • Assist with monthly, quarterly, and year-end closing processes
  • Maintain proper documentation and adhere to internal controls and company policies

Administer Operations

  • Develop, implement, and communicate office protocols through effective procedures to guide the operation of the office
  • Maintain a clean and organized working environment
  • Ensure filing systems are designed with controls in place for retention; retrieval and archiving of data
  • Ensure security, integrity and confidentiality of data
  • Ensure office efficiency is maintained by assisting with the planning and execution of equipment procurement, layouts and office systems as requested
  • Manage office equipment including making arrangements for servicing
  • Arrange meetings and events by scheduling participants and booking meeting rooms
  • Manage correspondence by answering emails directed to the accounts department
  • Manage outgoing and incoming mail including couriers and shipments
  • Develop and maintain an inventory list for office supplies
  • Monitor and maintain office supplies including purchasing based on control limit

Minimum Requirements:

  • Minimum of two years of hands-on experience in both accounts receivable and accounts payable functions
  • Proven ability to work effectively as a collaborative team member within a fast-paced finance environment
  • Exceptional written and verbal communication skills, with the ability to convey information clearly and professionally
  • Comfortable communicating with internal departments and external stakeholders across various formats
  • Self-motivated and proactive, with strong interpersonal skills and a commitment to supporting the financial and strategic goals of the organization
  • Excellent time management and organizational abilities, with a demonstrated capacity to manage multiple priorities and meet deadlines
  • Proficient in Microsoft Office applications, with strong working knowledge of Excel, Word, and Outlook

Preferred Requirements:

  • Accounts receivable experience within QuickBooks online
  • Actively pursuing a CPA designation

Working Conditions:

  • Work involves exposure to unusual elements such as dirt, dust, fumes, extreme temperatures, humidity, darkness, and noise
  • Work involves physical risks such as working around mechanical, chemical and electrical hazards which can be dangerous if not handled correctly
  • Must be able to meet the physical tasks of the job (e.g. standing, walking, wearing a respirator, climbing, pushing, pulling, lifting, working from heights & confined spaces etc.)
  • Must be able to see, hear and effectively communicate with others
  • Personal protective equipment, as defined by the Company, will be provided and must be worn
