Purchasing Coordinator – Job Description

Job Summary

The Purchasing Coordinator is responsible to process project purchase orders, logistics of equipment and inventory control. The Purchasing Coordinator works closely with stakeholders that include accounting, project managers, engineers, warehouse team, customer service, service teams, suppliers, and logistics companies.

Job Duties

  • Enter, verify, code and manage approved project purchase orders in QuickBooks
  • Prepare, process and follow up on shipment of equipment
  • Act as main contact for vendors for all project purchase orders
  • Assist in completing new vendor application and set up in QuickBooks.
  • Evaluate supplier capabilities, prices, and delivery terms to determine the most cost-effective options.
  • Negotiate favorable terms with suppliers to optimize pricing, quality, and delivery.
  • Monitor and track purchase orders ensuring timely delivery of materials and back orders.
  • Resolve supplier related issues including late deliveries or quality concerns.
  • Manage relationships with suppliers proactively and address concerns promptly.
  • Verify packing slip with Project Manager and warehouse team with approvals before submitting to accounting team.
  • Assist with data management including part number integrity, pricing and accuracy
  • Ensure the safe and timely pick-up and delivery of shipments of equipment for customer sites
  • Coordinate the shipments and provide updates to stakeholders
  • Expedite purchase orders if necessary
  • Coordinate with warehouse team for packing and shipping of equipment and ensure the proper documentation is provided prior to shipping equipment.
  • Direct periodic inventory count and report any discrepancies.
  • Report damaged or obsolete parts to accounting team.
  • Perform work in compliance with quality management and control systems as well as relevant legislation and safety procedures.
  • Other duties as assigned to support customer and business needs.

Requirements

  • Post secondary education in purchasing, logistics or related field
  • Previous experience working in project and construction industry an asset
  • Minimum 1 year of previous experience with QuickBooks- preferably QB and experience working with Inventory module
  • Previous experience in purchasing and logistics
  • Excellent communication skills both verbal and written
  • French desirable but not mandatory
  • Excellent working knowledge of MS Word and Excel
  • Demonstrated ability to work both independently and as a team player
  • Excellent customer service skills to both internal and external customers
  • Accuracy and attention to detail while working under tight deadlines
  • Ability to follow through and multitask
  • Ability to interpret and implement company policies and procedures
  • Good organizational, time management and prioritizing skills
  • Strong problem identification and problem resolution skills

Job Type: Full-time

Pay: $38,166.72-$62,762.08 per year
