This position is based on site at the NWR Sturgeon Refinery working a 9/80 schedule.

Position Summary:
Reporting to the Maintenance & Turnaround Manager, the Administrator - Maintenance, Turnaround & Engineering will work with the leadership teams in Engineering, Maintenance & Turnaround to provide exceptional administrative support where required. This role will provide administrative and clerical support in a wide range of areas for these multiple teams as detailed below. A key area of support will be the administration of Resident Contractor Personnel in NWR’s systems.
Responsibilities:
- Manages and oversees the administration for the above noted groups, including oversight over the computer systems, phones, files, and other office requirements;
- Maintains resident contractor data including the PAF log and corresponding updates to Maximo data for names changes, rate changes, crew work groups etc.;
- Updates and publishes of Maintenance Manpower comparisons and Contractor Manpower reports;
- Validates daily resident contractor time including managing approved OT requests, Lenel reports and contractor sign-in sheets; Liaising with contractor payroll staff to facilitate corrections;
- Maintains daily of resident contractor availability data via vacation management in NWR systems including updating 24/7 Scheduler with active names and updating Maximo calendar for vacation data;
- Provides daily Receipt of Service for PO Contract LEMS sheets to keep cost reports accurate;
- Gathers and formats work group data for weekly and monthly reporting;
- Develops required Purchase Requisitions through Maximo for work groups requirements:
- Performs data entry and data base reporting;
- Coordinates on-site and offsite meetings and activities;
- Works with the HR Administrator and the Operations Administrator to coordinate all moves for work group employees.
- Provides support for the creation of correspondence, including creating the initial draft of documents and proofing final versions; manages work groups mail system;
- Manages travel plans and expense accounts for the work group’s leaders; arranges various appointments and booking meetings;
- Maintains filing systems both paper and electronically; develops and enhance presentations; acts as a super user for Content Server (CS16);
- Assists in the reconciliation of the various work groups budgets (actuals vs. budget), including validation of coding;
- Acts in backfill capacity for vacation coverage of other administration staff.
- All other duties as assigned.
Requirements:
- Understands, creates and maintains a visible commitment to process and personal safety, as well as the safety of others; adheres to NWR’s Core Competencies to drive results and a high performing culture;
- Formal education in Office Administration or equivalent;
- 5 years of administrative experience;
- Must be a team player: willing to continuously and proactively collaborate, share, and seek information and guidance;
- Must have excellent attention to detail and organizational skills;
- Must be able to exercise judgment in order to evaluate what decisions are embedded in the role and what must be elevated;
- Must have excellent communication and client-interface skills, ensuring that internal clients, external stakeholders and colleagues “feel helped” after each interaction;
- Must have the highest degree of integrity dealing with highly confidential information;
- Must have solid business writing and proofing skills, including above average spelling and grammar;
- Superior skills in MS Word, MS Excel and MS PowerPoint are required; Visio skills are an asset;
- Specific knowledge of Maximo, Content Server/Livelink CS10 would be an asset;
- Must be a quick ability to learn new software systems and procedures is required;
- Must be able to work occasional extra hours and will back fill other administrative positions as required.

About North West Redwater Partnership
The NWR Sturgeon Refinery is the world’s first bitumen refinery designed from the ground up with carbon capture and storage to produce the high-value fuel products needed to meet North America’s demand for energy. In fall 2013, shovels officially broke ground on the project site. Peak construction saw over 8,500 workers on the project daily, in addition to thousands of jobs in engineering firms and fabrication shops.
The refinery has been producing diesel and other products since December 2017. Phase One of the Sturgeon Refinery is designed to process approximately 79,000 barrels per day of diluted bitumen from Alberta’s oil sands into much higher value products. This includes ultra-low sulphur diesel, vacuum gas oil, diluent, and natural gas liquids.
NWRP is a 50/50 partnership between Canadian Natural Resources Limited and the Alberta Petroleum Marketing Commission.
