About the role

We are looking for an Office Coordinator who has experience in a client facing role and exhibits professionalism as the first point of contact for our firm. The Office Coordinator will be responsible for the maintenance of the office environment and for providing administrative support to all departments.

Key Accountabilities

Answering and directing incoming calls

Meeting room bookings, prep and maintenance

Ordering and maintaining office supplies, business cards, Name Plates

Floor Plan Updates

Resolving issues regarding building maintenance and security with property management

Maintaining office equipment and appliances

Preparation and distribution of daily management reports

Providing support to HR as required

Manage incoming and outgoing mail and packages

Updating phone list and ensuring contact list for Blackberry contracts is updated

Prepping desks for new hire (emptying, cleaning, providing supplies)

Assist in coordinating company events

Emptying and running the dishwasher

Participating with any projects relating to the office space

Ensuring all confidential documents are disposed of appropriately

Conference call lines

Maintain Office Coordinator/Front Desk manual

Committee Member (Social, Health &Safety, etc)

Update own time tracking with regular accurate updates to R-Tracker

Other duties as assigned by Management

Qualifications And Experience

1+ years of experience in an administrative, sales support and/or client support role

Strong organizational skills

Excellent written and verbal communication skills

Excellent knowledge of Microsoft suite of products, including Word, Excel and Powerpoint.

A proactive, “service-first” attitude combined with superior interpersonal and presentation skills

Ability to work independently on projects, with tight deadlines, under minimal supervision

Fully bilingual (French / English verbal and written) is an asset
