Hours: 37.5 per week

Status: Permanent Full-Time

Closing Date: July 23, 2025

Position Summary The Centre for Advancing Collaborative Healthcare & Education is a partnership between the University Health Network and the University of Toronto. The WHO defines interprofessional education (IPE) as follows: “Interprofessional education occurs when students from two or more professions learn about, from and with each other to enable effective collaboration and improve health outcomes.”

Duties

  • Provides administrative support services for the Centre and assists with the IPE Curriculum portfolio.
  • Interacts with the Centre team, educators, practitioners, researchers and students.
  • Coordinates and maintains electronic calendar/schedule for assigned personnel;
  • utilizes advanced functions to perform word processing and database services to facilitate the production of documents/learning materials and presentations;
  • performs reception responsibilities and ensures efficient office operations;
  • performs routine budgetary support functions;
  • provides support with internal and external meetings/working groups/learning activities (e.g. drafts and distributes agendas; arranges meeting rooms, books venues and assists with seating plans, catering and other details; coordination/monitoring of facilitator recruitment; attends meetings as required; records and prepares minutes; follows up on the implementation of meeting decisions as requested);
  • assists with updating the IPE curriculum calendar, assists with evening IPE activities, student attendance tracking and maintains and modifies electronic databases;
  • assists with student curriculum inquiries;
  • prepares summary reports related to curriculum data for stakeholders;
  • performs other related clerical activities; performs cross-functional responsibilities, as assigned;
  • performs other duties consistent with the job classification, as required.

Qualifications

  • Completion of Grade XII (12) or recognized equivalent.
  • Completion of a recognized medical or business post secondary secretarial arts program at the diploma level.
  • Three (3) years related secretarial support experience.
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience.
  • Experience in a Microsoft Office environment.
  • Excellent organizational and time management skills.
  • Excellent interpersonal skills and demonstrated ability to work effectively, both independently and as a team member.
  • Excellent verbal and written communication skills.
  • Experience minute-taking at meetings required.
  • Ability to effectively handle confidential matters and materials.
  • Ability to work in a self-directed manner.
  • Ability to work some evenings.
  • Knowledge of administrative, organizational/office practices, procedures and standards.
  • Experience working in health profession education/care programs and/or an academic environment preferred.
