About the role

Job Summary (external):

12-Month Term Position

The Appointment Desk Clerk schedules examinations, maintains the schedule of appointments and provides general reception and clerical services for the Compensation Professional Services Department.

Job Duties:

Schedules all examinations for the WCB Healthcare Services professional staff by phone/letter/fax/email; maintains the appointment schedule; notifies internal/external parties (advocates, healthcare professionals, and internal WCB staff); and arranges translation services for injured workers.

Schedules out-of-province examinations for other provincial Workers Compensation Boards and for the Victims of Crime program.

Maintains the Healthcare Services professional staff appointment schedule.

Maintains monthly statistics regarding the scheduling of appointments.

Provides reception support to injured workers arriving for examinations, obtains worker's travel expense form, and ensures worker completes Healthcare Services feedback survey.

Observes in call-in examinations of injured workers, records pertinent claim information, and prepares examination room for next exam.

Provides information to/responds to inquiries from external healthcare facilities regarding the status of their requests.

Prepares and sends authorization/denial letters as per recommendations from Healthcare professionals.

Maintains the digital camera used for PPI cosmetic photos; transfers pictures to the claim file or computer.

Maintains the inventory of medical supplies/equipment and office supplies and orders supplies when necessary.

Requests CDs of x-rays, MRIs and CT scans from external clinics and facilities for WCB Healthcare professionals.

Provides orientation to new appointment desk staff.

Performs other related duties as assigned.

Qualifications:

Completion of Grade 12

Minimum 6 months related office experience in a customer service environment

Typing speed of 30 wpm (5% or less error rating)

Ability to use a personal computer and software (Microsoft Word & Excel) in a Windows environment

Ability to communicate effectively both verbally and in writing

Ability to use tact and discretion in confidential situations

Ability to organize and prioritize workload

Ability to work independently and in a team environment

General knowledge of WCB's policies and procedures would be an asset

Familiarity with the adjudicative process would be an asset

Ability to communicate proficiently in both official languages (English & French) is an asset, but is not required

The workers compensation system is an injury and disability insurance system for workers and employers, paid for by employers.

The Workers Compensation Board of Manitoba was founded in 1916 with the passing of The Workers Compensation Act and officially opened in 1917. The program is the result of a Canadian compromise struck in the early twentieth century and maintained to this day – injured workers gave up the right to sue their employers in exchange for guaranteed no-fault benefits in the event of a work related injury or illness, and employers agreed to pay for the system, in exchange for protection against lawsuits.
