Job Purpose The Enrollment Manager plays an integral role in enhancing the College’s exceptional student experience by overseeing enrollment, payments, orientation, retention, and graduation for Career College cohorts.

This position reports directly to the Senior Manager of Admissions and Enrollment, Canada, and is responsible for the annual review of enrollment operations, compliance requirements, student records, and graduation data. The role also serves as a primary liaison to academic and service areas, including payment plans, career support, advising, and student issues and appeals.

Main Duties And Responsibilities Registrations & Enrollment

  • Collaborate closely with the admissions team to ensure applicants have all necessary information to complete their enrollment and meet all requirements.
  • Ensure accurate record-keeping and handles student information and data, including government/regulatory reporting requirements (e.g., visas, insurance expiry, study and work permits, criminal record checks, etc.).
  • Lead the student journey from admission through registration, payment plans, exchange and transfer credits, student awards, bursaries, scholarships, and financial aid.
  • Track payment plans and counsel students on payment options and due dates.
  • Assist in the preparation and presentation of enrollment audits, office reports, statistical data requests, KPIs, and other documentation requested internally or for external audits.
  • Maintain up-to-date knowledge of industry trends in the career education sector to ensure compliance with best practices and regulatory requirements.
  • Manage individual registrations in IQ.
  • Respond to inquiries from the sales/recruitment team as required.
  • Process and disseminate cancellations in a timely manner.
  • Share extension/registration updates and special program information with pertinent staff.
  • Prepare reports for Senior Management on all aspects of the role.
  • Manage Career College data and requirements on LaMPPS (Dept. of Advanced Education site).
  • Assist with data collection, information distribution, and filing as required by Career College program managers.
  • Support data transfers to the LMS.
  • Assist in developing proposals for projects.

Student Services & College Operations

  • Participate in association work on behalf of the company when necessary.
  • Provide individualized and ongoing advice to students, supporting their success throughout the college journey, both pre- and post-enrollment.
  • Respond to student inquiries promptly, ideally by the end of the day and within 24 hours at the latest.
  • Counsel students on payment matters and follow up to ensure timely fee payments.
  • Ensure accurate, current information is communicated to students and partners and updated on the website in collaboration with the marketing team.

Quality

  • Uphold Oxford International's rules, regulations, policies, procedures, and standards at all times.
  • Ensure that the premises are maintained according to Canadian quality standards and within budget.
  • Maintain the corporate image in all aspects of operations.
  • Keep administrative, classroom, and student areas clutter-free.
  • Collaborate with other staff to meet goals and deadlines beyond the scope of this job description.

Other Duties

  • Manage the 24-hour hotline for at least one week every two months.
  • Support the front desk and respond to inquiries as needed.
  • Ensure the successful completion of daily office support and administrative functions.
  • Assist with data entry overflow.
  • Support filing as required by management.
  • Coordinate and assist with intake duties as needed.
  • Assist with academic functions when required.
  • Carrie out other duties as assigned by line management.

Experience And Knowledge

  • Post-secondary Enrollment & Student Services: Experience in enrollment, student services, and/or admissions within a post-secondary or career-focused institution.
  • Student Support: Proven experience providing individualized support throughout the student lifecycle.
  • Compliance & Regulations: Strong understanding of educational regulations and student records management.
  • Operational Oversight: Experience in managing operations such as registration, records, and payment processing.
  • Data-Driven Decision-Making: Ability to analyze student data to improve processes.
  • Program Development & Implementation: Experience in creating and executing policies and programs to improve the student experience.

Skills And Abilities

  • Strong communication skills to engage a variety of stakeholders.
  • Excellent problem-solving and customer service skills to resolve student inquiries promptly.
  • Strong organizational and time management abilities; capable of managing multiple priorities.
  • Familiarity with student management systems and Microsoft Office.
  • Ability to lead and collaborate across teams to support student success.
  • Experience working cross-functionally to enhance student services and outcomes.
  • Up-to-date knowledge of industry trends and best practices to improve the student experience.
