Position Summary

Reporting to the Supervisor of Shell Theatre and Events, the DCC Events Supervisor will coordinate the arrangements for delivery of events or functions at the Dow Centennial Centre. The DCC Events Supervisor will support event rental clients for the planning, coordinating, delivery, and evaluating stages of all events to ensure quality customer service to our customers and clients. As required, as part of the CPS team, the DCC Events Supervisor will provide mentorship to Facility Bookings staff in regards to City owned facilities and general event operation best practices.

Responsibilities

include, but are not limited to:

  • Work with clients and staff to plan, coordinate, promote, organize, and professionally deliver special events and major functions at the Shell Theatre and Dow Centennial Centre in order to ensure quality customer service.
  • Coordinate bookings at the DCC Shell Theatre and DCC amenities as required.
  • Create and distribute schedules and reports informing internal and external sources of events and bookings taking place at the DCC in a timely manner.
  • Shell Theatre facility booking client contracting, event coordination, and client or vendor financial reconciliation.
  • Coordinate Special Events in the Dow Centennial Centre; creating the bookings and following through with the safe execution of the event; being the main contact and coordinating City personnel to meet clients’ needs for a successful event.
  • Organize internal staff and resource support for events and operation as necessary.
  • Supervise and coordinate all Front of House (Program Assistants) including scheduling and training.
  • Manage all City Art programs including Art in Public Places, Public Art, and Gallery coordination, scheduling, promotion and maintenance; also includes artist financial reconciliation, contracting and sales.

Qualifications

This position requires, at minimum, a High School Diploma with Post-Secondary education in a related field. A Designation, Certificate or Degree in Special Events coordination, management or planning, or a BA, PE or BFA designation from a recognized program would be preferred. The incumbent will possess a Pro-Serve License with the Alberta Gaming & Liquor Commission and a Standard First Aid Level C with AED certificate. The successful candidate will have 2-5 years related experience with strong interpersonal customer service, facility bookings, and event management. A good understanding of volunteer and box office management and software, excellent verbal and written communication skills, and time management and work prioritization abilities are crucial for this role. High proficiency with Microsoft Office Suite, and experience using Adobe Suite, Great Plains and FMW is required. Knowledge of Intelligenz or comparable facility management software is considered an asset. The DCC Events Supervisor requires flexibility in their schedule, which includes working evening and weekend shifts as required.

Hours of Work: 37.5 hours per week; Monday to Friday
