THE OPPORTUNITY
Georgian Bay General Hospital is currently seeking a Diagnostic Services Clerk. Reporting to the Manager of Laboratory and Diagnostic Services, this position provides clerical and administrative support across both the Laboratory and Diagnostic Imaging (DI) departments. This hybrid role ensures efficient workflow, accuracy in documentation, and seamless coordination between departments, patients, and healthcare professionals.
KEY ACCOUNTABILITIES

Greet patients and visitors; manage phone and in-person inquiries professionally.

Schedule and confirm appointments for lab tests and diagnostic imaging.

Prepare and organize requisitions for laboratory and imaging services.

Assist patients during check-in and ensure all required information is accurately documented.

Input patient and order details into the Laboratory Information System (LIS) and Diagnostic Imaging System (RIS/PACS).

Receive, label, and log specimens; prepare and dispatch reports to internal departments and external providers.

Maintain accurate filing systems for laboratory and DI reports.

Track and order office and clinical supplies for both departments.

Support coordination of procedures with technologists and other medical staff.

Participate in routine administrative tasks such as data entry, faxing, photocopying, and scanning.

Support infection prevention and cleaning protocols in clerical areas.

Assist in monitoring turnaround times and service workflow efficiency.
QUALIFICATIONS & EXPERIENCE
The ideal candidate will possess the following education, experiences and key competencies:
- High school diploma or equivalent.
- Completion of a Medical Terminology course (required).
- At least 1 year of clerical experience in a hospital or any healthcare setting.
- Proficiency with Microsoft Office Suite.
- Ability to prioritize and multitask in a fast-paced environment.
- Excellent communication and organizational skills.
- Detail-oriented with strong accuracy in data entry and documentation.
- Professional, respectful, and patient-centered in all interactions.
- Comfortable working independently or as part of an interdisciplinary team.
- Ability to remain calm under pressure and manage sensitive information appropriately.
- Knowledge of healthcare confidentiality practices and regulatory compliance.
Preferred:
- Experience with Meditech Expanse.
- Experience working in a Diagnostic Imaging or Laboratory Department.

HOURS OF WORK/AVAILABILITY REQUIREMENTS
Permanent Casual. Mainly call in and vacation relief. Required to provide availability for a minimum of six (6) shifts per month. Must be available to work shifts including days, evenings, nights and weekends. Shifts and hours may change according to departmental requirements as per the CUPE collective agreement.

Our dedicated team serves a diverse catchment area, including Midland, Penetanguishene, Township of Tiny, Township of Tay, Christian Island, Georgian Bay Township, and Springwater Township. With a population base of 55,000, surging to over 150,000 during the peak season, GBGH stands as a healthcare cornerstone for our vibrant community.
With an annual budget of approximately $80 million, a robust staff of 800 professionals, and a network of over 100 active professional staff alongside 70 regional affiliates and consulting physicians, GBGH is a vital healthcare hub. Our services span acute care, rehabilitation, complex continuing care, and Level 3 intensive care unit, with exciting plans on the horizon. We are in the early stages of expanding our capabilities, including a 2,500 sq ft expansion to our diagnostic imaging department to add MRI services for our community, a 50,000 sq ft expansion off our emergency department to offer 24 inpatient mental health beds and planning for a new state-of-the-art hospital facility.
