The Role
This a summer student position ideal for a post-secondary student pursuing a diploma or degree in accounting, finance, or business administration. Under the supervision of the Chief Financial Officer, the Accounting Administrative Assistant will support the Finance and Administration team by assisting with data entry, document preparation, recordkeeping, and various administrative tasks related to accounting and financial operations.
KEY FUNCTIONS AND RESPONSIBILITIES
Accounting and Administrative Support:
- Input, monitor and maintain various business information systems records. Work orders, training records, etc.
- Implement and maintain record keeping systems.
- Coordinate meetings; prepare agendas and record meeting minutes.
- Prepare and/or edit internal and external business communications.
- Assist with writing, preparing and reviewing of business presentations, documents and reports.
- Coordination and tracking of projects.
- Review and distribute correspondence for the Operations team.
- Assist in maintaining work schedules and calendars.
- Prepare and administer orientation/training materials.
- Liaise with internal and external stakeholders on behalf of the FMAA and Operations team
- Liaise with customers and tenants to respond to service requests and schedule inspections/work.
- Direct and maintain the logistics of the Operations team, including meetings, seminars, workshops, equipment, supplies, special projects, and events.
- Edit and review documents, reports and correspondence prepared for VP, Operations
- Conduct research and compile data.
- Create, compile and maintain records.
- Provide administrative support to the Operations team managers.
- Coordinate tenant’s movements (move-in/move-out) / Clean-up and inspections of premises
General Office Support:
- Answer phones, respond to emails, and direct inquiries to appropriate team members.
- Prepare and edit internal communications, memos, and basic reports.
- Assist with scheduling meetings, booking rooms, and preparing meeting materials.
- Support the coordination of training sessions and workshops for staff.
- Provide general clerical support including photocopying, scanning, filing, and mailing.

- Detail Oriented – The ability to proof, edit and review detailed print material to ensure error free document.

- Computer Skills – Ability to use various computer programs, software, and systems to complete work, tasks, and projects (email, internet, databases, word processing, publishing, website management etc.)
- Integrity – Acting with uncompromising ethics and honesty at all times and in all situations both professionally and personally.
- Prioritizing Skills – Work on several projects concurrently with excellent organizational and prioritizing skills.
- Problem Solving – The ability to analyze problems systematically, organize information and identify key factors and causes to generate solutions.
- Relationship Management – The ability to develop, maintain, and strengthen partnerships with others inside or outside of the organization who can provide information, assistance, and support.
- Ability to work additional hours (evenings and weekends)
Qualifications & Experience
- Enrolled in a post-secondary program in accounting or a related field.
- Returning to full-time studies in September.
- Previous experience in an administrative or office setting is an asset, but not required.
