The Opportunity

Reporting to the Recreation Office Coordinator, the Office Assistant 2 is responsible for delivering exceptional customer service and providing a range of support duties. These include general clerical tasks, junior accounting and payroll assistance, database maintenance, promotional activities, and helping with the day-to-day operations of City facilities. Additional responsibilities also include reception duties, data entry, filing, research, and report writing. Some staff supervision is also required.

Responsibilities

Customer Service, Program Registration, and Facility Bookings

  • Provides excellent front-line customer service.
  • Operates registers, scanners, and credit/debit card terminals.
  • Inputs memberships and registers applicants for recreation programs.
  • Coordinates documents for booking of any facility available to the City for public use.

Accounting Support

  • Assists in preparing, processing, and maintaining accurate accounting, payroll, and financial records (e.g., accounts payable/receivable, invoices).

Administrative Support and Records Management

  • Prepares correspondence and meeting materials.
  • Prepares, organizes, indexes, and maintains a variety of records, files, and documents (e.g., bylaws, minute books, rentals, inventories).
  • Gathers and prepares information and statistics as needed.

Communications and Advertisement

  • Prepares and coordinates advertisements for recreation programming and special events.

General Administrative and Office Duties

  • Performs other office administrative duties to support the overall operations of the recreation facilities.

Education, Qualifications, and Work Experience

  • Grade 12 and certificate in Office Administration or recreation programming or similar courses is preferred.
  • Sound knowledge of business English spelling, formatting a variety of documents, and office procedures.

Knowledge, Skills, and Abilities

  • Experienced in office administration, basic bookkeeping, writing and editing correspondence and document.
  • Customer service and general knowledge of recreation services.
  • Adaptability and enthusiasm to take on new challenges are paramount.
  • Able to work independently and as part of the team
  • Ability to deliver a high level of customer service and deal effectively and courteously with the public, staff, contractors, and other external contacts and agencies in processing inquiries and complaints; provide a variety of factual information and related services in a professional manner.
  • Ability to work under pressure and function effectively while dealing with contentious matters and difficult customers.

Physical Effort & Safety Commitment

This position includes but is not limited to:

  • Standing, walking, climbing, stairs, kneeling manual dexterity, visual acuity, lifting up to 10 lbs (most office positions).
  • Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.

The employee is responsible for full cooperation with all aspects of the City’s Occupational Health and Safety program, including compliance with all rules and regulations, and for continually practicing safety while performing their duties, and monitor and enforce subordinate compliance with the OH&S program.
