One (1) Permanent Full (1.0 FTE, 35 hours/week) Program/ Student Success Project Coordinator

Work Location: Bluewater District School Board Education Centre, Learning Services, Program, Chesley, Ontario

Reports to: Learning Services Administrator, Program

Duties and Responsibilities:

Administrative support for Learning Services, Program and Student Success (e.g., coordinate professional learning sessions and other meetings; schedule, prepare, and distribute curriculum and in-service materials; create, edit, and publish departmental documents and online resources)

Receive referrals for adult education night school, day school and Bluewater Alternative Education School

Respond/assist students, parents, outside agencies and the general public with inquiries following established procedures and guidelines

Collaborate with community partners

Register students in Student Information System (SIS)

Communicate with students, follow up on inquiries

Set up intake guidance appointments

Manage calendars for adult education guidance teachers

Budget management including tracking, reporting, and procurement

Completion of data requirements for Ministry reports

Perform general office routines including correspondence, file management, resource photocopying, mailing and reporting

Management of Ontario student records

Set up courses for adult day school, adult night school and Bluewater Alternative Education school

Prepare report card reporting periods, generate and mail out report cards

Organize graduation in collaboration with adult education team, prepare transcripts and diplomas

Assign Ontario Education Numbers, as required

Monitor requests for transcripts on OCAS site

Familiarity with Prior Learning Assessment and Recognition (PLAR) process and tracking

Book, attend and prepare minutes for adult education team meetings

Manage time sheets

Lifting will be required

Other duties as assigned

Qualifications and Experience:

A Community College diploma or equivalent certification

Assets:

Familiarity using PRISM, Brightspace, OEN website, OCAS

Expertise using computer technology and programs such as Microsoft Office m365 and ASPEN (student information system)

Knowledge of the Ministry of Education and Bluewater District School Board policies

Strong oral and written communication and interpersonal skills

Excellent problem-solving, organization and time management skills

Demonstrated experience with general office procedures including knowledge and the use of office equipment

Demonstrated ability to be an effective team player and able to work independently

Flexible and willing to perform a variety of tasks with competing priorities

Job Requirements:

Clean vulnerable sector police check.
